Ownership of knowledge in an AI construction system depends on the software agreement in force, the project contracts, who created or supplied each record, third-party rights, and applicable law. A vendor’s ability to host, index, or process information does not, by itself, prove that it owns the information.
To answer the question accurately, separate four things: project records supplied by the parties; AI-generated outputs based on those records; the provider’s software and platform materials; and third-party or jointly created content. Then review both contract layers—the software provider’s terms and the owner, contractor, consultant, and subcontractor agreements governing the project.

What counts as “project knowledge”?
Project knowledge is not one legal category. A building information model, specification, request for information, site photograph, meeting transcript, schedule, safety observation, AI summary, and reusable company method may have different authors, owners, confidentiality obligations, and licenses.
| Information type | Typical examples | Questions to ask |
|---|---|---|
| Project records supplied by a party | Drawings, models, specifications, RFIs, submittals, schedules, photos, cost data, daily reports | Who created it? Which contract assigns ownership or grants a project license? Who may export or reuse it? |
| AI outputs and derived material | Summaries, extracted issues, draft correspondence, risk flags, suggested schedule changes, generated reports | Does the contract assign the output, grant a license, or leave rights unspecified? Is the output substantially based on a third party’s material? |
| Provider platform material | Software code, interfaces, workflows, templates, documentation, models, system-generated metadata | What does the provider retain, and what license does the customer receive to use it? |
| Third-party or jointly created content | Manufacturer data, licensed standards, consultant work, jointly authored meeting records, public datasets | What restrictions came with the source, and can the project team pass those rights to another party? |
Calling everything “data” hides the distinctions that determine who can copy, disclose, modify, license, delete, or reuse it. A contractor may own a field report while the owner receives a broad project-use license. A consultant may own a design instrument but grant the owner rights to construct and maintain the facility. A software provider may receive a limited license to process all of those records without acquiring ownership.

Ownership is different from access, custody, and processing
Contracts often split rights that are casually described as ownership. Examine each one separately:
- Ownership: who holds the underlying intellectual-property or contractual rights.
- Access: which project roles can view, download, edit, or share a record.
- Custody: who stores the authoritative copy and supplies it at closeout or termination.
- Processing: what the software provider may do to host, index, search, classify, or transform the information.
- Confidentiality: who must protect the information and what disclosures are permitted.
- Retention and deletion: how long records, backups, logs, and derived indexes remain after a project or subscription ends.
- Export and portability: whether the customer can retrieve original files, annotations, embeddings, prompts, and generated outputs in usable formats.
- Model improvement and training: whether the provider may use customer material to improve a service or train a general or specialized model.
These rights can point in different directions. A provider might have custody and a processing license while the customer retains ownership. A project participant might have access but no right to reuse a drawing outside the project. Conversely, an owner may receive a perpetual license to deliverables without owning every underlying tool, template, or component.

The software-provider agreement
Start with the exact product, edition, region, order form, subscription terms, AI addendum, data-processing addendum, privacy notice, and incorporated policies applicable to the account. Public general terms may differ from negotiated terms or an older order form. Save the version and effective date that governed the project, not merely the provider’s current web page.
Look for definitions of Customer Data, Project Data, Input, Output, Derived Data, and Feedback. A broad provider license may authorize hosting, indexing, analysis, aggregation, service improvement, or security monitoring. Check whether each permission is limited to providing the service, whether de-identification is required, and whether it survives termination. Specific language about model training matters more than a general statement that the vendor may “use data to improve services.”

The project agreement
Review the prime contract and every relevant consultant, subcontract, design, and information-management agreement. Identify who authors and owns drawings, models, field records, photographs, specifications, schedules, closeout documents, and operation-and-maintenance information. Check the licenses granted to the owner, contractor, designers, trade partners, lenders, insurers, and regulators, including rights needed after completion.
Project contracts may also impose confidentiality, professional-licensing, records-retention, public-records, or data-location requirements. If a consultant’s agreement limits use of a model to this project, a software provider’s broad platform license cannot automatically give the contractor a wider reuse right.
What an Autodesk contract example shows—and what it does not
Autodesk’s general Terms of Use provide a concrete example, not a rule for every construction platform or jurisdiction. The terms identify the general version as last updated December 8, 2025. They state: “You will retain Your ownership rights to files, designs, models, data sets, images, documents or similar material created by You (or Your Authorized Users) and submitted or uploaded to an Offering by You (or Your Authorized Users).”
The same terms reserve Autodesk’s rights in its Offerings and related materials. Their covered-content language describes “Project data” as including files, designs, models, data sets, images, documents, tasks, schedules, or similar material submitted or uploaded, and it also includes certain outputs generated from a user’s own raw data. That wording makes the definition of an output important: an AI-generated result may be treated differently from an original file, a provider template, or a result incorporating someone else’s material.

Autodesk describes regional storage options separately and notes that personal or account data may be handled globally. Availability is service-specific. Confirm the region, product, and terms attached to the account before relying on those statements. Retaining ownership does not answer who may access a file, how long an index remains, or whether an AI service may use it for model improvement.
What Procore’s documentation illustrates
Procore’s legal index directs customers to user terms, online subscription terms, supplemental terms, a privacy notice, and a data-processing addendum. The index alone does not identify which negotiated subscription document controls a particular account, so the signed order and incorporated documents must be checked.
Procore’s AI help material says the AI follows existing Procore permissions. It also describes proposed changes being staged for a person to review and approve, and it warns users to validate AI work against their records because the system can make mistakes. Those are workflow and governance safeguards; they do not determine ownership of inputs or outputs.

A Procore credit FAQ lists an indexing charge of 3 credits per gigabyte per day for Procore AI’s multimodal indexing value. The page notes that Datagrid customers without Procore AI may have another model. This is volatile product-billing information, not an industry statistic, and it should be rechecked against the account’s current commercial terms before budgeting.

Hamzah Shanbari described the product value this way: “It’s about getting to decisions faster with high confidence. The more we can reduce that cognitive load of trying to find the right information, the more efficient our teams become.” That statement explains why teams want searchable project knowledge; it is not evidence that the provider owns the underlying records.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Who owns AI-generated summaries and documents?
Do not assume that output ownership automatically follows input ownership. The contract may:
- assign specified outputs to the customer;
- grant the customer a license while the provider retains other rights;
- exclude outputs from ownership promises;
- reserve rights in provider templates, prompts, models, or system metadata; or
- say nothing, leaving the result to applicable law and other contract provisions.
Even when a customer receives rights in an output, the result may contain third-party or jointly authored material. An AI-generated meeting summary can reproduce a consultant’s confidential advice, a manufacturer’s proprietary instruction, or another party’s copyrighted text. Human review is necessary before distributing it as a contractual record, design direction, payment support, or safety instruction.
Keep the source citations, prompt or task description, date, user, model or feature version when available, and approval history with any material output. An output without provenance is difficult to defend if the project later disputes what was known, approved, or relied upon.

Can a contractor use project data to train AI?
Only if the relevant rights and restrictions permit it. A contractor’s possession of project files is not the same as permission to use them for a separate training dataset. Check:
- whether the owner or design professional granted reuse rights beyond project delivery;
- whether confidentiality clauses prohibit disclosure or secondary use;
- whether third-party licenses allow machine learning, extraction, or redistribution;
- whether personal information appears in photographs, transcripts, access logs, or personnel records;
- whether the software contract permits export and independent processing; and
- whether the intended model is private to the contractor, shared with clients, or exposed to a public service.
If permission is unclear, segregate the project from training workflows, remove unnecessary personal or third-party material, and obtain written authorization. A provider’s permission to process data to deliver its own service does not automatically authorize the contractor to create a new commercial model.
A step-by-step ownership review
- Identify the exact service. Record the product name, edition, enabled AI features, customer entity, region, and subscription or order-form number.
- Freeze the governing documents. Download the signed order, subscription terms, AI or supplemental terms, data-processing addendum, privacy notice, and incorporated policies, including their effective dates.
- Build a data inventory. List drawings, models, specifications, RFIs, photos, schedules, transcripts, cost records, outputs, indexes, logs, and backups. Identify the creator, source, sensitivity, and authoritative system for each.
- Map rights word by word. Compare definitions of Customer Data, Project Data, Input, Output, Derived Data, and Feedback. Mark clauses covering hosting, indexing, analysis, aggregation, service improvement, model training, retention, deletion, export, and termination.
- Compare the project contracts. Check ownership, licenses, confidentiality, permitted recipients, closeout duties, professional obligations, and reuse limits for every contributor.
- Test third-party and joint content. Separate manufacturer information, licensed standards, consultant work, and jointly authored records instead of treating them as the customer’s unrestricted data.
- Verify operational controls. Confirm role permissions, audit trails, approval gates, citation or source links, retention schedules, deletion of indexes, backup handling, export formats, data region, subprocessors, and incident-notice terms.
- Document the decision. Create a rights matrix naming the owner, permitted users, provider license, output treatment, retention rule, and approval authority for each data class.
- Escalate uncertainty. For a disputed ownership claim, high-value deployment, or cross-border project, have counsel review the executed documents and governing law. Public product pages cannot replace the agreement signed by the account holder.
Operational rules that protect the project
Use least-privilege access
Give each role only the records and AI actions it needs. Configure project, company, and document permissions before indexing. Review inherited permissions when a subcontractor leaves, a consultant changes role, or a project reaches closeout.

Keep AI suggestions in a proposed state until an authorized person verifies the source record, technical context, contract impact, and downstream recipients. Never treat an unreviewed summary as a change order, design instruction, payment certification, or safety determination.
Preserve an exportable record
At milestones and termination, export original files and the context needed to interpret AI work: source references, prompts or task descriptions, generated outputs, approvals, timestamps, and audit logs where available. Confirm that deletion requests cover active data, derived indexes, and backups on the schedule promised by contract.
Recheck volatile terms
AI features, credit formulas, regional availability, subprocessors, and model-training language can change. Assign an owner to review provider notices and renewals, and obtain a written amendment when a change affects confidentiality, reuse, cost, or exit rights.
Bottom line
The safest answer to “Who owns project knowledge stored in an AI construction system?” is: the answer is divided by record, output, contract, and jurisdiction. A customer may retain ownership of uploaded project material while granting a provider permission to host and analyze it; an AI output may have separate or unspecified rights; and third-party or jointly created content may remain restricted. Determine the result from the executed software and project agreements, preserve provenance and human approval, and never treat storage or processing as proof of ownership.
