Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Check your building permit only through the authority that issued it: open its official status lookup or applicant portal, search with the case number from your submission confirmation, and read the local status glossary before deciding what to do. When the authority sends a request for more information, follow the notice and the portal task exactly, answer every comment, upload the requested files through the prescribed resubmission route, and keep the receipt. A status such as “received” does not necessarily mean the response was accepted or that review is complete.
Portal names, access rules, status labels, deadlines, upload windows and contact practices vary by jurisdiction. The examples below come from municipal authorities in California, Ontario, British Columbia and Washington State; use them to understand possible workflows, not as a substitute for your own notice.

Start with the issuing authority and your case number
The authority handling the application is the only reliable source for its current status. Find the jurisdiction’s official permit page from the confirmation email, receipt or notice you received. Avoid relying on a third-party status site or an old bookmark if the notice points to a newer portal.
- Locate the identifier. Use the application, permit, project or file number printed on your submission confirmation. Some portals also require the property address or applicant name.
- Determine the access method. A public lookup may show basic information without signing in. An authenticated account may be required to see reviewer comments, upload documents or receive notices. Berkeley directs applicants to Permits Online for a processed permit record, while the Town of Ajax says users register to track an in-progress permit through its online service at https://eapply.ajax.ca/.
- Sign in with the account tied to the application. If a consultant, designer or contractor submitted the permit, confirm who controls the account and how the owner will receive notices.
Save the portal address, case number and the email address associated with the file in one project record. If the authority has sent a notice with a specific login link, use that link rather than searching for a similarly named service.

What a permit status page can show
Status pages differ in both detail and timing. Before interpreting a label, open the authority’s status glossary or help page. A useful record may include all of the following:
- an overall application or project status;
- separate statuses for building, zoning, structural, mechanical, electrical, fire or other disciplines;
- reviewer comments and outstanding items;
- an activity history, routing slip or event log showing when the file moved between stages;
- document names, upload dates and whether a submission was received or accepted;
- the next action available to the applicant.
Mississauga’s workflow project status report, for example, identifies overall project information, reviewer status and outstanding comments. Its routing slip records process stages and activity. That level of detail is not universal, so do not assume that a blank reviewer field means no review is happening.
Read labels as process instructions
Toronto’s glossary illustrates why the exact wording matters. “Notice Sent” means an examiner identified deficiencies or outstanding items and is waiting for an applicant response. “Response Received” indicates the authority has received material; “Response Accepted” indicates the response has passed the intake step and the review has returned to the queue. Other authorities may use the same words differently.
A public page may also be delayed. Toronto states that information on its Building Permit Application & Inspection Status page is updated as of the previous business day. Treat that as a Toronto-specific update statement, not a general promise for every municipality.
A repeatable tracking workflow
1. Confirm the record and current access
Open the official portal and search by the identifier exactly as shown on the confirmation. Check spelling, punctuation and leading zeros. If the record cannot be found, verify that the authority has processed the submission and that you are using the correct application type. A newly submitted file may not appear until intake staff create the record.
2. Capture the complete status view
Do not stop at the banner at the top of the page. Open reviewer, discipline, comments, documents and activity sections. Download or print the page if the portal permits it. Record the date and time you checked, the visible overall status, each reviewer status, outstanding comments and any action button. This creates a timeline when a status later changes.
3. Check the authority’s glossary
Find the definitions for terms such as applied, in review, notice sent, response received, response accepted, resubmittal, issued or closed. Use the definition attached to your jurisdiction and edition of the portal. A label that sounds final may only describe an intermediate queue.

4. Check the associated email account
Search the inbox and junk folder for the application number, project address and the authority’s name. London says its status-change emails identify outstanding items and explain what to provide and how to submit it. A portal may show a task while the detailed instructions remain in the email, or the reverse.
5. Set a controlled follow-up routine
Check at the cadence stated by the authority or notice. Keep a simple log with the date checked, status, new comments, documents submitted and confirmation numbers. Avoid sending duplicate packages merely because the public page has not refreshed; first verify whether the submission is waiting for intake or review.
How to read and organize a request for more information
A request can arrive by email, in a portal inbox, as a formal notice or through more than one channel. Treat the notice as the controlling instruction. Read every page and attachment before preparing a response.
- Identify the source and date. Note the issuing department, reviewer or intake team, notice date and application number.
- List every comment. Number each deficiency or question, including comments in attachments, markups and discipline-specific screens.
- Find the required deadline. Use only the date stated in your notice or local rules. The cited authorities do not establish one common response deadline.
- Confirm the submission route. The notice may name a portal task, a resubmission hub, an authenticated account or another official channel.
- Check file requirements. Follow the requested format, page size, signatures, seals, naming convention and maximum upload size when supplied.
Kitsap County describes an Information Request delivered by email. Its instructions direct the applicant to upload the response and supporting documentation to the Information Request in the Online Permit Center. That is an example of a task-specific route; do not substitute ordinary email unless your authority expressly permits it.

Before uploading: build a comment-by-comment response package
Create a response matrix
A compact matrix prevents an answer to one reviewer from being lost among unrelated files.
| Column | What to record |
|---|---|
| Comment ID | The authority’s number or a clear number you assign. |
| Reviewer and discipline | The name or department shown in the notice. |
| Requested action | The specific correction, calculation, clarification or document requested. |
| Response | A short explanation of what changed and where it appears. |
| Supporting file | The exact filename and sheet, page or detail reference. |
| Open item | A question you cannot resolve without authority guidance. |
Write the response so a reviewer can verify it without searching through the entire drawing set. For a revised sheet, state the sheet number, revision date and a brief description of the change. For a calculation or report, identify the section and page that answers the comment. If a comment does not require a change, explain the technical basis and point to the relevant existing information rather than deleting the comment from your matrix.

Keep file versions unambiguous
Use the authority’s naming convention when one is provided. Otherwise, choose names that include the application number, document type, revision and date, such as BP-24157_Response_R2_2026-10-17.pdf or BP-24157_A1.1_Rev03_2026-10-17.pdf. Do not upload a file with a generic name such as final.pdf when several revisions exist. Preserve the submitted package and confirmation in your project records; this is prudent recordkeeping even though the cited authorities do not set one universal retention period.
Check whether the portal is ready for your response
An upload button may be absent or disabled for a legitimate workflow reason. Mississauga says applicants cannot submit additional information or respond while reviewers are still in the review phase. The city sends an applicant-resubmit email after examiner review is complete. Vancouver’s account guidance likewise describes waiting for staff review before further submissions.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteIf you cannot submit, work through these checks in order:
- Read the latest notice and email for an instruction that the authority will invite or enable resubmission.
- Open each reviewer or discipline status to see whether review is still active.
- Look for a task named applicant response, information request, resubmission or revised documents rather than using a general upload area.
- Confirm that you are signed in as the applicant or authorized representative attached to the record.
- Check whether the authority has requested one combined package or separate files for each discipline.
- If the notice remains unclear, use the published applicant-support contact. Mississauga advises applicants not to contact reviewers until they complete review; London publishes Building Services contact details for questions.
Do not email plans to an individual reviewer, create a second application or repeatedly retry a disabled control unless the authority’s written instructions tell you to do so. Those actions can split the record or delay intake.
Submit the response through the prescribed route
- Open the named task. Select the information request or resubmission action tied to the application, not an unrelated general-contact form.
- Attach the response letter and supporting documents. Match each file to the comment matrix. If the portal limits file size, follow the authority’s stated split or compression method; do not reduce drawings until text and dimensions remain legible.
- Review the upload list. Check filenames, revisions, page counts and that no superseded sheet is included accidentally.
- Submit once the package is complete. Read any certification or declaration before accepting it. Record the confirmation number, timestamp and any receipt email.
- Verify the record. Reopen the application and confirm that the files appear under the correct task. A successful upload is not necessarily an accepted response.
For revised drawings on an existing application, Toronto directs applicants to its File Submission Hub. Toronto also announced online resubmissions for all application documents beginning September 18; the cited announcement does not expose a year, so rely on the live Toronto instructions for the current date and eligibility.
What “received” and “accepted” mean
Look for a status transition after submission. Toronto’s glossary separates “Response Received” from “Response Accepted.” Received means the authority has the material; accepted means the intake step is complete and the review returns to the queue. Your authority may use different labels or combine these stages.

If the status stays at received, check for an intake comment, rejected file, missing signature or unreadable document. Correct only what the authority identifies, and submit through the same record. Do not describe a comment as resolved in your own project schedule until the portal or notice shows the relevant authority status.
Timing, queues and realistic expectations
Permit timing is local and case-specific. The cited sources do not establish a national average or a universal response window. Mississauga states that each resubmission cycle could add two or more weeks. That is the City of Mississauga’s process estimate for a resubmission cycle, not a prediction for another authority or project.
A status such as applied, received or in review means the file is in a workflow stage, not that approval is imminent. Use reviewer-level statuses and outstanding comments to identify the next dependency. If one discipline remains open, the overall project may not advance even when another discipline is complete.
When to follow up
Follow up when the notice’s stated date has passed, the portal shows an error that prevents a required submission, a confirmation is missing, or a status remains inconsistent with the authority’s glossary. Include the application number, property address, submission timestamp, task name, exact error text and screenshots that omit personal information where possible. Ask the applicant-support channel what action is available; do not demand a decision date that the authority has not promised.
Comparing local permit portals before you rely on them
When coordinating several jurisdictions, compare the actual workflow rather than assuming one portal behaves like another.
| Workflow feature | Possible implementation | Practical effect |
|---|---|---|
| Access | Public status lookup | Basic status may be visible without an account, while documents and responses may require authentication. |
| Access | Authenticated applicant account | Registration or an invitation may be required to see comments and upload files. |
| Status detail | Overall status only | You may need the notice or support team to identify the open discipline. |
| Status detail | Reviewer-by-reviewer workflow | Open comments and routing activity can show which review is holding the file. |
| Submission timing | Immediate upload | The portal may accept a response as soon as an information task is created. |
| Submission timing | Gated upload | The applicant must wait for all reviewers to finish or for an invitation to resubmit. |
| Update cadence | Published refresh schedule | A displayed status can lag behind a same-day action; use the stated cadence when recording checks. |
Berkeley supports portal tracking and attachments in Permits Online. Alameda directs applicants to Accela Citizen Access for status, comments and resubmissions. Toronto provides a public status lookup and a defined glossary. Mississauga combines reviewer reports with a gated resubmission step. These examples demonstrate the range of designs rather than a single best practice.

Common problems and the correct response
The application does not appear
Confirm the identifier, property address and submission date. Check whether intake processing has completed and whether the account used is the one named in the confirmation. If the authority supplied a direct record link, open it from the notice. Contact applicant support with the confirmation rather than filing a duplicate application.
The status has not changed
Check the local update statement, reviewer statuses and activity log. Toronto’s previous-business-day statement explains why a same-day action may not appear immediately. If the authority’s stated update period has elapsed, send a focused support request with the last known status and date checked.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesThe upload control is missing
Look for a pending review or a required applicant-resubmit invitation. Mississauga and Vancouver describe workflows in which further submissions wait until staff review reaches the appropriate stage. Do not bypass the gate with an unsolicited email unless instructed.
The portal rejects a file
Read the error for file type, size, filename or page restrictions. Remove duplicate or superseded files, preserve legibility, and retry in the task named by the authority. If the error persists, capture the exact message and contact the published support channel.
A reviewer comment seems contradictory
Quote the comment number in your response and explain the conflict concisely. Attach the relevant drawing or report page. Ask the authority’s designated applicant-support contact how to proceed if the notice does not identify a responsible channel; do not assume a direct reviewer email is appropriate.
You submitted but received no confirmation
Reopen the record, check the task’s document list and search the associated email account. If there is no receipt or visible upload, contact support before submitting a second package so the authority can determine whether the first attempt entered intake.
A project-control checklist
- Official portal address saved from the authority’s notice.
- Application or permit number verified character by character.
- Account owner and notification email confirmed.
- Overall, reviewer and activity statuses recorded with the check date.
- Local status glossary consulted.
- Every notice comment numbered and assigned an answer or document.
- Deadline copied from the actual notice.
- Response files named and versioned according to local instructions.
- Portal task confirmed as open for applicant submission.
- Receipt, confirmation number and submitted package archived.
- Portal rechecked for received or accepted status.
- Follow-up sent through applicant support when the record or instructions are unclear.
When professional coordination can help
Most applicants can track a permit using the issuing authority’s portal and notice. A local permit coordinator or expeditor may be useful for an unusually complex project with several disciplines, multiple properties or a large comment set, provided that person is authorized on the application. Their role should be limited to organizing communication and submissions under the authority’s rules; they cannot replace the authority’s review or guarantee approval.
Bottom-line decision path
Use this sequence whenever you receive a status change or information request: identify the official record, read the local glossary, inspect reviewer comments and activity, check the associated email, wait for the portal’s response window to open, prepare a numbered response with clearly labeled supporting files, submit through the named task, save the receipt, and verify whether the authority marks the response received or accepted. If any step is unavailable, contact the authority’s published applicant-support channel with the application number and exact problem. Local instructions control every deadline, file rule and next action.
