Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsPerform a hydraulic excavator inspection before every shift, using the exact operator and maintenance manual for that machine and a repeatable walk-around route. Record the operator, date, time, machine identification and hour-meter reading; inspect the structure, attachment, undercarriage, fluids, hydraulic system, cab and safety devices; then start and function-test the excavator only in a clear area.
If any defect could affect safe operation, do not operate the machine. Record the condition, notify the responsible supervisor or maintenance person, and follow the company’s lockout/tagout and repair process. A generic checklist supplements the model manual; it never replaces it.

What the daily inspection is for
A pre-shift inspection is a condition check, not a quick glance at the fuel gauge. Its purpose is to find damage, leaks, missing hardware, failed safety devices and other conditions that could injure people, damage the excavator or cause an uncontrolled movement during the shift. Complete it before every shift, including when the same operator used the excavator the previous day.
Recommended Free Tools
The machine-specific manual controls the inspection details: fluid-level procedures, temperatures, warm-up requirements, operating limits, test methods and any model-specific components. OSHA’s sample checklist says owners should adapt a form to the operator’s manual and manufacturer recommendations. The same principle applies to a contractor’s electronic form or paper card.

Use a consistent route so that the inspection is complete and repeatable. MSHA advises selecting a designated start and end point, following the process, and recording every mechanical or safety defect found. A route that always moves clockwise around the machine, for example, is easier to audit than an improvised route that changes each day.
Prepare before approaching the excavator
Gather the required information and equipment
- The operator and maintenance manual for the exact make, model and configuration.
- The employer’s inspection checklist or inspection form.
- A torch or inspection flashlight for dark, obstructed or shaded areas.
- The personal protective equipment required by the site and the machine manual.
- Any lubrication equipment specified for the excavator.
Before touching the machine, write the operator’s name, inspection date, time, machine identification and hour-meter reading on the form. These entries connect a defect to a particular machine and shift and help maintenance track recurring conditions.
Secure the inspection area
Park or approach the excavator according to the operator manual and site rules. Keep clear of traffic, suspended loads, edges, trenches and other hazards. During the later start-up test, people must remain outside the swing radius and other crush zones. Do not begin a running test until you have a clear area and a way to communicate with anyone nearby.

Start at the point selected on your checklist and walk in one direction until you return to the end point. Inspect from the ground first. Do not climb on the boom, counterweight, engine cover or other surfaces that are not intended as access points. Use the machine’s steps and handholds when entry is required.
Inspect the frame, upper structure and counterweight
- Look for cracks, bends, distortion or impact damage in the frame, house and counterweight.
- Check for loose, missing or damaged fasteners and any guard that is loose or absent.
- Inspect the boom, stick, bucket, teeth, coupler, pins and retaining hardware for cracks, deformation, excessive movement or missing retainers.
- Check steps, handholds and access guards for damage, looseness or contamination that could make climbing unsafe.
- Confirm that the rollover protective structure (ROPS) and falling-object protective structure (FOPS), where fitted, show no damage or unauthorized modification.
A bent component, a cracked weld, a missing pin retainer or a modified ROPS/FOPS is not a cosmetic issue. Record the exact location and keep the excavator out of service when the condition could affect safe operation.
Inspect the undercarriage, tracks or tires
Examine both sides of the machine and the area beneath it. On tracked excavators, check the tracks, track frames, rollers, sprockets and idlers for damage, unusual looseness, missing parts or material packed into the running gear. On wheeled machines, inspect the tires, wheels and visible wheel hardware. Look for damage or conditions that could affect travel, steering or stability.

Use the manual for any allowable wear limits, track-tension procedure or tire-pressure specification. Do not invent a pass/fail limit from visual appearance alone. If the condition is outside the manual’s limit or cannot be judged safely, record it for a qualified maintenance assessment.

Check visibility and emergency equipment
- Inspect cab glass, mirrors and any camera or visibility aid for cracks, dirt, looseness or obstruction.
- Verify that work lights, travel lights and other fitted lights are intact and clean.
- Check warning labels and safety decals for legibility and secure attachment.
- Confirm that the fire extinguisher is present, secured and within its inspection requirements.
- Where the machine is fitted with fire-suppression equipment, inspect the visible components and indicators according to the system instructions.
Inspect the engine compartment, fluids and hydraulic system
Look for leaks without creating an injection hazard
Inspect the ground, the underside of the machine and the engine compartment for fresh fuel, engine oil, coolant or hydraulic-fluid wetness. Trace the apparent source visually from a safe position. Check hoses, fittings, hard lines and cylinders for abrasion, cuts, blistering, deformation, loose connections and wetness.
Never use bare hands to search for a pressurized hydraulic leak. A pinhole stream can penetrate skin and cause a medical emergency even when the leak is difficult to see. Visual inspection and defect reporting are emphasized rather than prescribing one universal hand-search method. Follow the manufacturer’s safe leak-detection and pressure-release procedure; keep clear of the suspected jet and have qualified maintenance isolate and repair the system.
Check fluid levels by the model procedure
Verify engine oil, hydraulic oil, coolant, fuel and any other model-specific fluids at the levels and temperatures specified in the manual. Some excavators require a level surface, a stopped engine, a cool component or a prescribed waiting period before a reading is valid. Use the dipstick, sight gauge, fill mark or electronic display identified by the manufacturer.
A significant unexplained drop is a possible leak, not merely a reason to add fluid. Record the level and the evidence of loss, notify the responsible person and investigate through the repair process. Topping up without reporting can leave a damaged hose, cylinder or fitting in service until it fails.
Recognize hydraulic warning indicators
OSHA’s hydraulic-equipment inspection guidance identifies unusual pump noise or vibration, low operating speed, excessive fluid heating and low pressure as warning indicators. During the visual inspection and later function test, note these symptoms and compare any gauge or diagnostic reading with the model manual. Do not continue operating to “see whether it clears” when a warning could affect safe control or load handling.

Enter the cab safely and verify operator controls
Use three-point contact
Face the excavator while climbing and maintain three points of contact on the steps and handholds. Remove mud, ice, oil or other contamination that could cause a slip, using the site’s safe cleaning method. Do not jump from the cab or climb on hydraulic lines, cylinders or other components that are not designed as steps.
Check the cab and restraint system
- Confirm that the operator manual is present and accessible in the cab.
- Keep the cab clean enough that pedals, controls, windows and emergency equipment are not obstructed.
- Check that the seat adjusts and locks as intended.
- Latch the seat belt and verify that the belt and buckle hold correctly.
- Make sure windows and mirrors provide the visibility required for the work area.
- Test windshield wipers and the defroster where fitted.
Do not bypass a seat-belt interlock, alarm, guard or other safety device to complete the inspection. Record the failure and follow the site’s repair process.
Start and function-test only after the area is clear
Use the manufacturer’s start-up sequence
Start the excavator from the operator’s position using the sequence in the manual. Observe gauges, warning lights and diagnostic codes as the machine powers up. A warning that remains illuminated, a code that appears, or an abnormal gauge reading requires action under the manual; it is not automatically cleared by restarting.
Warm the systems as specified
ISRI advises warming the engine and hydraulic systems to operating temperature before operation. The duration, idle speed and allowable control movements are model-specific, so use the manual rather than a universal warm-up time. Keep the machine in a safe, controlled position while it warms.
Test controls and safety devices in a clear zone
With people outside the swing radius, travel path and other crush zones, test the devices listed in the manual and on the employer form:
- Horn and other audible warnings.
- Work lights and travel lights.
- Travel or backup alarm, where fitted.
- Brakes and parking brake on wheeled machines or any fitted brake system.
- Travel controls and steering response.
- Boom, stick, bucket, coupler and other hydraulic controls.
- Interlocks, guards and additional safety devices fitted to that excavator.
Use slow, deliberate movements and stop immediately if a control responds unexpectedly, a warning appears, a hose becomes wet, or the machine makes an unusual noise or vibration. Never function-test over a person, against a structure or near an unprotected edge.

Record defects and make the operating decision
Write a usable defect description
Mark each checklist item pass or fail and describe failures precisely: identify the component, location, visible condition and any symptom observed during testing. “Hydraulic leak” is less useful than “fresh oil wetness at the stick cylinder hose fitting, left side, visible before start-up.” Add the hour-meter reading and time so maintenance can correlate the finding with service history.

If an observed condition could affect safe operation, do not operate the excavator. John Deere’s generic checklist states: “If observed condition of a component could affect safe operation, DO NOT OPERATE.” OSHA’s sample checklist similarly says: “Have a qualified mechanic correct all problems.” Isolate the machine as required by the employer’s lockout/tagout process, notify the responsible supervisor or maintenance person, and wait for an authorized repair and release.
MSHA’s inspection card summarizes the documentation duty: “Follow the inspection process and record on the report any mechanical or safety defects you find.” A signature or electronic submission does not itself authorize operation when a defect remains unresolved.
Choose or design a checklist that supports the inspection
When selecting a paper or electronic form, compare it against the operator manual and the way your crew actually works. The useful differences are specificity, coverage, documentation and stop-use logic.
| Checklist criterion | What a good form provides | Why it matters |
|---|---|---|
| Manufacturer specificity | Fields or instructions matched to the exact make, model and attachments, with a prompt to consult the operator manual | Fluid readings, test sequences and limits vary by machine; a generic form cannot replace the manual. |
| Coverage | Separate checks for structure and attachment, undercarriage, leaks and fluids, hydraulic components, cab, visibility and safety devices, plus a function test | A walk-around that omits one area can miss a condition that affects travel, lifting or control. |
| Documentation | Operator, date, time, machine identification, hour meter, pass/fail result, defect description and corrective-action or notification field | Maintenance needs enough information to identify the machine, reproduce the finding and track its disposition. |
| Stop-use rules | A clear instruction to remove the machine from service when a condition could affect safe operation | Operators should not have to interpret whether a serious defect permits continued use. |
Keep the form available at the machine or in the approved digital system, but keep the operator manual available as well. The checklist is a memory and documentation aid; the manual remains the authority for model-specific procedures.
Common inspection failures and the correct response
Starting with the engine instead of the route
Starting first can hide a cold leak, make an unsafe machine move before defects are recorded, or encourage the operator to skip the ground inspection. Begin with the planned walk-around and record the baseline condition before starting.

Inspecting only what is easy to see
Clean paint and an intact bucket do not prove that the undercarriage, hoses, fittings, cylinders, counterweight or ROPS/FOPS are sound. Include the underside, engine compartment and both sides of the machine, using a flashlight where sight lines are poor.
Searching for a hydraulic leak with a hand
Do not run fingers over a hose, fitting or cylinder to find a wet spot. Keep clear of pressurized fluid, use the manufacturer’s safe method and refer the repair to qualified maintenance.
Topping up fluid and ignoring the loss
A repeated or significant level drop can indicate a leak or component problem. Record the loss and report it; adding fluid alone does not restore the machine to a known safe condition.

Before moving any control, clear the swing radius, travel path and crush zones. Use a spotter or site communication method when the work area cannot be seen fully from the cab, and stop the test if anyone enters the zone.
Treating a completed form as permission to operate
A form is evidence that checks were performed, not a waiver for a failed item. Apply the stop-use rule, isolate the excavator when required, and obtain the responsible release after correction.
A practical sequence for every shift
- Retrieve the exact operator and maintenance manual, employer checklist, required PPE, flashlight and lubrication equipment.
- Record the operator, date, time, machine identification and hour-meter reading.
- Choose the designated start point and walk one direction around the entire excavator.
- Inspect the frame, counterweight, boom, stick, bucket, teeth, coupler, pins, guards, steps, handholds and ROPS/FOPS.
- Inspect tracks or tires, rollers, sprockets, idlers, undercarriage and track frames.
