Tell customers exactly how to reach you, not merely that construction is causing delays. Confirm the current work phase, detours, entrances, parking and pedestrian routes with the project team; publish one consistent set of directions with the date checked; repeat it through the channels your customers use; and update it whenever conditions change. Keep employees and suppliers on the same version, use only signs that the relevant road authority permits, and announce when the work is finished.
Start with verified access information
Construction plans change by phase, weather, utility work and safety needs. A route that was open yesterday may be closed today, so do not publish directions based on an old flyer, a contractor’s early schedule or a customer’s report. Contact the transportation agency, municipality, contractor liaison or project engineer responsible for the work and establish one named contact or official update source.

Explain how the project affects your specific operation. A general detour notice may not answer whether a delivery truck can turn, whether an accessible entrance remains usable, or whether customers can park after a lane shifts. Ask for information that can be checked against your opening hours and busiest periods.
Questions to ask the project team
- What are the start and expected completion dates for the current phase?
- Which road segments, intersections and approaches are closed, narrowed or controlled by temporary signals?
- Can customers reach the property from each likely direction, and which turns are prohibited?
- Which entrance is open now, and is a temporary entrance planned for another phase?
- Where can customers park, including accessible spaces, and will parking capacity or access times change?
- What is the safe pedestrian route from the nearest open sidewalk, transit stop or parking area?
- Can delivery, service and emergency vehicles use the normal access, and are there time restrictions?
- How will residents and businesses be notified of the next phase, and where are official updates posted?
- Whom should you call if the actual access differs from the published plan?
Record the answers, the contact’s name, the date and the phase they apply to. If your business is on a local street, ask the local authority about local rules; guidance for a state-highway project does not automatically govern a city or county road.

Create an access fact sheet
Keep a short internal sheet that can be copied into every customer message. Include the business name, open or closed status, current entrance, approach from each direction, parking location, pedestrian and accessible route, changed hours, delivery instructions, date and time last verified, next review date, and the official project contact. Add a simple change log so staff can see what changed and when.
| Information | Why customers need it | Who verifies it |
|---|---|---|
| Current work phase and dates | Sets expectations about how long directions apply | Project liaison or agency update source |
| Open approach and entrance | Prevents drivers from stopping at a barricade or closed gate | Project team and your on-site manager |
| Parking and accessible access | Lets customers plan before they leave home | Property manager, project team and accessibility lead |
| Pedestrian route | Protects customers who arrive on foot, by transit or with mobility devices | Project team, then an on-site walk-through |
| Delivery window and vehicle route | Reduces missed deliveries and unsafe turning movements | Supplier contact and site manager |
| Last checked and next review | Shows whether the message is current | Named communications owner |
Publish one current message everywhere
Customers should not have to reconcile a website that says one entrance is open with a social post that points to another. Choose one person to own the fact sheet and one approved wording for the current phase. Every channel should draw from that version.
The essential message answers six questions in the first few lines: Is the business open? Which entrance should customers use? How should they approach it? Where can they park? Is the pedestrian or accessible route different? When were these directions last checked? Add changed hours or a temporary contact when relevant.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsUse plain landmarks and turn instructions rather than phrases such as “expect delays.” Name the open street, the visible landmark, the permitted turn and the entrance sign. If a route works only at certain times, state the time window. If information is provisional, say what is confirmed and when you will check again instead of presenting an estimate as a promise.
Put the source of truth on your website
Create a prominent construction-access notice on the home page and contact or visit page. Keep the notice near the information customers need before travelling, and link to a larger map or access page when the route is complex. Display the date and time checked, not just the date the page was first published. Remove superseded maps and posts so search results and old bookmarks do not keep sending people to a closed approach.
Use social posts and email for changes
Social profiles are useful for rapid phase changes and reminders, while an opted-in email list reaches customers who already know the business. Repeat the complete access directions in each update; do not post only “new construction alert” and send readers searching for the route. Pin or highlight the current post where the platform allows it, and label older posts as outdated before deleting them.
Update voicemail, receipts and printed notices
If customers commonly call, change the voicemail greeting to state the open entrance and where to find current directions. Place a concise notice on the door, reception window or checkout area for people who arrive during a phase change. Include a QR code only if it leads to a page you will maintain; a printed map without a visible check date can become misleading.

Give customers concrete, visual directions
Wisconsin Department of Transportation’s customer-information guidance puts the benefit plainly: “Use simple maps to tell your customers about the best alternate routes to reach your business.” A useful map does not need engineering detail. It needs the roads customers actually use, the work-zone limits, the open approach from each likely direction, the entrance, parking, accessible path and any temporary route.
Build an annotated access map
- Start with a current base map and confirm it against conditions on the ground.
- Mark the construction limits, barricades, closed turns and roads that remain open.
- Draw separate approach lines from the north, south, east and west, or from the directions most customers use.
- Mark the open vehicle entrance with a large, high-contrast label and show the legal turn into it.
- Mark customer parking, accessible spaces, loading areas and the safe pedestrian path.
- Add a short legend, a directional arrow, the phase or date covered, the date checked and a contact for corrections.
Pair the image with written directions for people who cannot read the map, use screen readers or have limited data access. Describe turns in sequence and include an alternative approach if one route is vulnerable to another phase. Test the route at the times customers travel it; a technically open road may still require a different entrance during peak work activity.
Write directions that survive a quick glance
Use a heading such as “We are open: use the Oak Street entrance.” Follow with the approach: “From the west, continue past the work-zone barricade, turn right at Pine Avenue, and enter from the signed Oak Street drive.” Then state parking and access: “Customer parking and the accessible space remain beside the building; follow the marked pedestrian path.” End with “Directions checked on [date]” only when a real date is inserted in your published copy. In your internal template, store the date as a field rather than leaving an undated message online.
Use signs without violating roadway rules
Signs can help a driver who is already near the property, but permission and placement rules depend on the roadway and jurisdiction. Ask the project engineer or municipality before placing any sign on or near the road. Coordinate signs in a public right-of-way with the responsible agency; do not assume a rule for a state highway applies to a local street.

On-premises wayfinding
Once a vehicle reaches your property, use a clear sign to identify the open entrance, temporary drive, parking area and accessible route. An outdoor A-frame or temporary business-access sign may be useful when it is allowed, stable, visible and outside the pedestrian path. Choose weather-resistant materials, large lettering and strong contrast. Check the sign after wind, rain, snow or a change in traffic control, and remove it as soon as it no longer reflects the route.
Public-road signs
Do not place a directional board in a traffic lane, on a sidewalk or in a visibility triangle without written or otherwise confirmed permission from the authority that controls the space. The agency may require a specific sign design, location, mounting method, setback or removal date. Ask who maintains the sign and whom to call if it is knocked down or creates a hazard. Keep a record of the approval and the approved dates.
Keep employees, suppliers and neighbors aligned
Customers often ask the first employee they see, so staff need the same current message as the website. Give every shift a short briefing when the phase changes and place the access fact sheet where front-line employees can see it. Train staff to avoid guessing: if a customer asks about a route not on the sheet, use the official update source or the named manager rather than improvising.

Employee briefing checklist
- State whether the business is open and the current entrance.
- Show the map and the safe pedestrian and accessible route.
- Explain changed hours, parking limits and any appointment or pickup procedure.
- Give the date and time of the last verification and the escalation contact.
- Tell staff how to report a barricade, sign or access condition that differs from the message.
Notify suppliers and service providers before their next visit. Provide the vehicle route, delivery window, staging point, height or weight restrictions that the project team has confirmed, and a phone contact for arrival problems. Adjust receiving hours when a temporary closure makes the normal schedule unsafe or impractical. Do not ask a driver to bypass a barricade or use a route that has not been approved.

Neighboring businesses, a local chamber or a business association may be able to share a verified map, explain a common parking arrangement or coordinate a joint customer notice. Treat these as coordination opportunities, not substitutes for the project team’s official information. Agree on one description of the shared detour and nominate someone to alert the group when the project enters a new phase.
Match each communication channel to its job
No single channel reaches everyone or supports every kind of direction. Use the channel mix that your customers already rely on, and keep the wording synchronized.
| Channel | Update speed | Best reach | Visual directions | Accessibility and upkeep |
|---|---|---|---|---|
| Website access page | Fast once the owner is assigned | Existing and prospective customers searching for you | Strong; can include an annotated map and text | Maintain headings, alt text and a visible check date |
| Social profile | Very fast for phase changes | Followers and people who share local posts | Good for a map image; pair it with text | Repeat full directions and mark old posts as outdated |
| Opted-in email | Fast, but dependent on list timing | Existing customers | Can include a map and printable directions | Use readable text and a clear subject line |
| Voicemail | Immediate after a greeting change | Callers who need an answer before visiting | None; keep spoken directions short | Re-record after every material access change |
| Door notice or flyer | Slow to replace if conditions change | People already near or at the property | Useful for an entrance and parking diagram | Weatherproof it, show a check date and remove it when obsolete |
| On-premises directional sign | Immediate after placement | Drivers and pedestrians at the property | Strong for the final turn and entrance | Check permission, visibility, stability and accessibility |
Set an update rhythm and a correction process
Construction communication fails when the first announcement is treated as a permanent answer. Set a review rhythm with the project contact and additional checks before high-traffic periods, major events or a forecast phase change. The review does not need to produce a new post every time; it does need to confirm that the current one remains true.
Use a practical change workflow
- Receive an agency or on-site update and record its source, time and applicable phase.
- Compare it with the access fact sheet and call the project contact about any conflict.
- Walk or drive the customer approach, checking the entrance, parking, pedestrian path and signs.
- Revise the source-of-truth wording and map, including the new check date.
- Push the approved version to the website, social profiles, email, voicemail, printed notices and staff briefing as needed.
- Search for and remove old maps, pinned posts, saved PDFs and signs that contradict the new route.
- Tell the project team if field conditions differ from what it supplied, and log the correction.
Keep a simple log with the change, source, time received, channels updated, person responsible and next review. If a serious mismatch could put someone in danger, prioritize a temporary warning and direct customers to the official project contact while you correct every channel.
Plan communications by project phase
A staged plan prevents last-minute notices. Adapt the timing to the project’s actual schedule rather than promising a fixed number of days that the agency has not confirmed.
| Phase | Customer communication | Internal action |
|---|---|---|
| Before work begins | Explain that the business remains open if confirmed, publish the first verified map, and describe likely entrance or parking changes. | Brief employees, suppliers and neighbors; obtain sign permissions. |
| Before each phase change | Send the new approach, entrance, parking and pedestrian details with a check date. | Walk the route, replace signs and update voicemail and printed notices. |
| First day of a new setup | Post a reminder and respond quickly to reports of confusion. | Assign someone to observe arrivals and record problems. |
| During active work | Refresh the web notice and social updates when access, hours or parking changes. | Review the official update source and supplier route on the agreed cadence. |
| At completion | Tell customers the normal route is restored, thank them and invite them back. | Remove temporary signs, archive the final map and review useful adaptations. |

Parking is reduced or moved
State the exact available area, any time restrictions and the walking route. If accessible spaces move, verify that the route is level, unobstructed and signed before publishing it. Do not promise spaces that the project or property manager cannot guarantee.
Pedestrian access is unsafe or unclear
Do not direct people through a work zone, roadway or blocked sidewalk. Ask the project team for the designated route, inspect it on site and provide an alternative only after it is confirmed. Tell customers who need assistance whom to contact before arriving.
A customer reports a contradiction
Thank the person, record the location and time, and compare the report with the official update and a current site check. If the report indicates a hazard or an unannounced closure, escalate it immediately and issue a correction rather than defending an old post.
The schedule is uncertain
Separate confirmed facts from estimates. Say which entrance is open now, identify the next review date and explain where customers can find the next official update. Avoid publishing a completion date as guaranteed when the project team has not confirmed it.
Make the information accessible and safe
Use high-contrast text, readable type, descriptive headings and text directions alongside every map. Do not rely on color alone to distinguish a route. Describe symbols in the legend and provide an accessible version of any image. Keep signs out of the clear pedestrian path, maintain visibility at drives and intersections, and follow the project team’s safety instructions.
Construction communication does not authorize your business to direct traffic, move barricades or create an informal crossing. If a customer asks for a route that conflicts with a closure, refer to the official detour. Coordinate any public sign, cone, banner or roadside board with the authority that controls that location.
Close the loop when work ends
When the project team confirms that normal access has returned, publish a completion notice instead of silently letting temporary directions expire. Tell customers which entrance and parking arrangement are restored, thank them for navigating the work and invite them back. Remove temporary signs, old flyers, pinned posts and outdated map files.

Review your change log with employees and suppliers. Keep adaptations that improved service, such as a maintained access page, a clearer entrance sign or a delivery contact, but retire instructions that no longer apply. The result is a reliable process for the next closure, utility project or access change—not a collection of conflicting announcements.
