The advertised rent is only the starting point. To estimate what a commercial space will really cost, use the lease’s rentable square feet, add the recurring expenses assigned to you, project every contractual increase through the term, and separately budget concessions, utilities, parking, deposits and construction work.
A reliable estimate therefore has two outputs: the recurring monthly cash requirement and the total cash commitment over the full lease. The lease type—gross, modified gross, NNN or percentage rent—describes a structure, not a complete price. The actual clauses control.

Monthly estimate = annual occupancy cost ÷ 12.
This gives a useful first-year estimate when the figures are known. It is not a complete lease projection: parking, separately metered utilities, percentage rent, taxes charged on rent where applicable, deposits and one-time construction costs must remain visible as separate items. Add an expense only when the proposal or lease assigns it to the tenant.
Worked arithmetic example
| Item | Amount |
|---|---|
| Annual base rent | $25 per rentable square foot |
| Recurring operating expenses | $8 per rentable square foot |
| Combined annual rate | $33 per rentable square foot |
| Rentable area | 3,000 square feet |
| Annual occupancy cost | $99,000 |
| Monthly estimate | $8,250 |
The calculation above is an arithmetic illustration from LegalClarity’s 2026 example, not a market price or recommended benchmark.
Confirm which square feet you are paying for
Usable square feet describe the private area your business occupies. Rentable square feet can include that private area plus your proportionate share of common areas such as lobbies, corridors and shared restrooms. A lease may use rentable area for base rent but a different basis for another charge.

- Find the area figure in the proposal and lease.
- Identify the measurement method and the party that certified it.
- Check whether base rent, CAM, utilities and other pass-throughs use rentable square feet, usable square feet or another stated basis.
- Ask how the tenant’s pro-rata share is calculated for the building or project.
The District of Columbia Office of Tax and Revenue commercial lease reporting form, for example, records occupied net rentable area and the measurement method. The U.S. Chamber guide also distinguishes usable from rentable square feet. Those references illustrate why an area label alone is insufficient; the lease’s definition and measurement govern.
How to calculate a CAM share
When the lease allocates common-area maintenance by proportionate share, the basic calculation is:
Tenant CAM share = tenant rentable area ÷ building or project rentable area × recoverable CAM pool.
Use the denominator and expense pool specified in the lease. A building-wide pool, project-wide pool, vacancy adjustment or gross-up can produce a different result than simply dividing by the occupied suites. Verify whether management, security, landscaping, repairs, capital items and administrative charges are recoverable or excluded.

Gross or full-service gross
Many property expenses are bundled into the quoted rent. The landlord may still carve out separately metered utilities, janitorial service, marketing charges or other categories. Confirm which services are included, any expense stop or base year, and the events that permit an additional bill.
Modified gross
The parties divide costs by negotiation. A base year or expense stop commonly means the tenant pays increases above a stated baseline. Record the baseline year, the covered categories, the tenant’s share and the exact calculation method. A quote that sounds “gross” can still produce substantial pass-throughs if these terms are broad.
NNN, or triple net
Base rent is generally supplemented by the tenant’s share of property taxes, insurance and common-area maintenance (CAM). Additional responsibilities may include repairs, utilities, management charges or other items. Do not estimate NNN cost from the base rate alone; inspect every net-expense clause and its exclusions.
Percentage rent
Some retail leases add rent tied to sales above a defined threshold. Include this only when the lease contains the provision. Use its contractual sales definition, breakpoint, reporting rules and percentage; do not substitute a generic retail assumption.
Build an itemized operating-expense estimate
Request the landlord’s current operating-expense budget and the basis used to allocate it. Then compare the budget with the lease’s recoverable-cost definition.
- List property taxes, insurance, CAM or maintenance, utilities, janitorial service, management or marketing charges and any other stated pass-through.
- Identify expenses the lease excludes, such as capital costs, landlord overhead or costs attributable to another tenant.
- Check whether the landlord can gross up expenses for vacancies and, if so, to what assumed occupancy level.
- Record caps on controllable expenses and whether taxes, insurance or other categories sit outside the cap.
- Understand the estimate-and-reconciliation process: the landlord may bill an estimate during the year and later compare it with actual costs.
- Ask whether you have inspection or audit rights and a deadline for disputing a reconciliation.
Your pro-rata share may be based on your rentable area divided by the building’s or project’s rentable area. Confirm whether the denominator changes when space is vacant or added, and whether the lease uses a building-wide or project-wide pool.
Create a lease-cost abstract
Before calculating, summarize the proposal or lease in one worksheet. Record the premises address, rentable and usable areas, measurement standard, commencement and rent-commencement dates, term, renewal options, base-rent schedule, operating-expense estimate, tenant share, base year or expense stop, caps, exclusions, gross-up language, utilities, parking, percentage-rent terms, deposits, allowances and construction obligations. Keeping these fields together makes it easier to spot a missing assumption and compare another offer.
Project every year instead of multiplying the first month
A term estimate should be a year-by-year schedule. Multiplying the first month’s rent by the number of months hides contractual increases and uneven cash obligations.

Set up the schedule
- Enter the lease term, commencement date, rent commencement date and any partial months.
- Enter the base-rent rate and the rentable area for each period.
- Apply each fixed annual increase on its stated effective date.
- Model CPI adjustments with the lease’s index, measurement date, floor, cap and reset rules when applicable.
- Forecast recurring operating expenses separately from base rent. Apply base-year or expense-stop pass-throughs and any stated caps.
- Add percentage rent only in periods where the contractual sales test is met.
- Keep parking, utilities, taxes on rent where applicable and other separately billed charges on their own lines.
- Show one-time deposits, construction payments, moving costs and other nonrecurring obligations in the period when cash is due.
Keep base rent and operating expenses distinct. They can escalate under different rules, and combining them makes it difficult to explain a later increase.
A practical annual worksheet
For each lease year, calculate:
- Scheduled base rent: applicable annual rate × rentable square feet.
- Recurring operating expenses: tenant’s allocated rate or projected pass-through.
- Other recurring charges: utilities, parking, service fees and percentage rent when applicable.
- One-time cash: deposit, tenant-funded work, moving reimbursement timing or other specified payments.
- Credits: free rent, allowances and reimbursements, shown in the period they are applied.
- Net cash due: recurring charges plus one-time cash minus credits.
Sum the annual net cash figures for the proposed term, then separately report the undiscounted scheduled rent and the timing of deposits and construction spending. This prevents a low “average” number from concealing a large opening-month requirement.
Account for concessions without hiding cash timing
Record free-rent periods, tenant-improvement allowances, moving reimbursements and other credits as separate lease terms.
- Confirm whether free rent waives base rent only or also operating expenses.
- Identify when an allowance is funded, whether the landlord pays vendors directly and what happens to unused funds.
- Budget tenant-funded improvements above the allowance, including work required for the intended use.
- Place moving reimbursements in the month they are actually received, not merely when promised.
A net-effective comparison can subtract concessions from scheduled rent and spread the result across the full term. Use that figure only as a comparison aid. It must not replace the cash schedule showing when rent and construction costs are payable or when a credit arrives.
Include construction and other one-time costs
Commercial occupancy often requires work before the business can open. The lease and proposal should identify the tenant-improvement allowance, the scope of landlord work and who pays for overruns.
- Separate landlord-delivered work from tenant-selected finishes and equipment.
- Price tenant improvements beyond the allowance and identify payment milestones.
- Include permits, design, engineering, inspections and utility connections when the lease or project assigns them to you.
- Check whether delays extend the term, postpone rent commencement or leave rent running while work is incomplete.
- Budget moving, storage, signage and data or communications installation if they are not included in the landlord’s scope.
Build-out costs vary materially with the premises and intended use. The available lease guidance identifies these categories but does not establish a universal amount, so obtain a project-specific construction budget.
Do not overlook deposits, utilities and parking
Deposits may be refundable later, but they still increase the cash required before opening. Show security deposits, utility deposits and any letter-of-credit requirement separately from rent.

Taxes charged on rent, administrative fees and other proposal charges should also have their own lines. If an amount is not stated, request it rather than filling the gap with a market assumption.
Compare two lease offers on the same basis
A lower quoted NNN base rate is not automatically cheaper than a higher gross quote. Normalize the offers before choosing.
- Area: use the same usable-versus-rentable definition and verify the measurement method.
- Time: compare first-year cash, each subsequent year and the full proposed term.
- Included expenses: place taxes, insurance, CAM, utilities, janitorial and marketing charges in matching categories.
- Escalations: apply fixed increases, CPI rules, base-year pass-throughs, caps and reconciliation assumptions consistently.
- Concessions: show free rent, allowances and reimbursements by timing and distinguish them from an averaged net-effective rate.
- Construction: compare allowance, landlord scope, tenant-funded work and who bears overruns.
- Exposure: assess vacancy gross-ups, uncapped expenses, percentage rent, audit rights and definitions of recoverable costs.
- Additional charges: include parking, separately billed utilities, deposits and other stated fees.
Useful decision outputs are the first-year monthly cash requirement, total estimated cost over the term, the highest projected monthly obligation and the costs most sensitive to actual building performance. No location-independent market average can settle the comparison; the property’s figures and contract allocation do.
Use source examples correctly
Holland & Knight’s 2026 legal guidance illustrates the difference between structures with hypothetical figures: 5,000 square feet at $30 per square foot produces $150,000 of annual base rent; its comparison examples use $45 per square foot for a gross lease and $38 per square foot for a modified-gross lease. These are examples, not market statistics.
The District of Columbia Office of Tax and Revenue’s 2014 commercial lease form separately records base rent, annual increases, lease type, tenant-paid operating expenses, maintenance, insurance, real estate taxes, CAM, utilities, tenant improvements, free rent, concessions and leasing commissions. That list is a useful checklist for information to request, not a universal contract form.
As Holland & Knight puts it, “Ultimately, lease structure matters for both landlords and tenants.” The practical implication is to price the complete allocation of costs rather than the label or headline rate.
When to involve professional help
Ask a commercial tenant representative to normalize proposals when the offers use different area measurements, expense pools or concession structures. A commercial real-estate attorney should review definitions of recoverable expenses, exclusions, caps, base-year calculations, gross-ups, reconciliation deadlines, audit rights, repair obligations and construction responsibilities before signing.

Frequently Asked Questions
How much will this commercial space really cost per month?
Add the annual base-rent rate and all recurring tenant-paid operating expenses on the same rentable-square-foot basis, multiply by rentable square feet, and divide by 12. Then add separately billed utilities, parking, percentage rent, taxes on rent and other charges shown in the lease.
What is included in NNN rent?
NNN usually means base rent plus the tenant’s share of property taxes, property insurance and common-area maintenance. The contract may also assign repairs, utilities, management charges or other costs, so the lease clauses—not the label—determine the total.
How do I calculate CAM charges?
Use the lease’s allocation formula: tenant rentable area divided by the building or project rentable area, multiplied by the recoverable CAM pool. Check exclusions, caps, vacancy gross-ups, the expense pool and reconciliation provisions.

It generally includes the tenant’s usable private area plus a proportionate share of common areas such as corridors, lobbies and shared restrooms. Confirm the measurement standard and whether each charge uses rentable or usable area.
Should free rent reduce my monthly estimate?
Show free rent as a credit in the months when it applies, and confirm whether it waives base rent only or operating expenses too. A net-effective average is useful for comparing offers but does not show the actual timing of payments.
Are tenant-improvement allowances part of lease cost?
Treat the allowance as a credit or funding source, then budget tenant-funded work above it. Include permits, design, engineering, inspections, connections, moving, signage and other costs assigned to you.
Why can an operating-expense estimate change after signing?
Landlords may bill estimated pass-throughs and later reconcile them to actual costs. Taxes, insurance, maintenance, vacancy gross-ups and uncapped categories can differ from the initial budget, subject to the lease’s definitions, caps and audit rights.
Recommended Free Tools
How should I compare a gross lease with an NNN lease?
Normalize both offers by area basis, included expenses, escalation rules, concessions, construction obligations, utilities, parking and deposits. Compare first-year cash, each projected year, the full-term total and exposure to pass-through increases.
The Bottom Line
To estimate commercial lease cost, start with the lease’s rentable area and base rent, add only the recurring expenses assigned to the tenant, and build a year-by-year schedule for escalations and pass-throughs. Keep utilities, parking, percentage rent, deposits, concessions and build-out costs separate so both monthly cash needs and total term cost remain visible. The signed expense definitions and allocation clauses—not the gross, modified-gross or NNN label—determine what you will actually pay.
