Pick the symptom - the matching free tool is one click away.
Compare written quotations for the identical equipment, specification, hire dates, postcode, account status and hire period. Ask every provider for the amount payable now and the complete cost if anything changes, including hire, delivery, collection, VAT, fuel, consumables, damage protection, deposits and possible extra charges. The lowest daily rate is not necessarily the lowest total or the safest contract.
Start with an identical brief for every provider
A quote comparison is only meaningful when each supplier is pricing the same job. Send one written brief and keep a copy of every reply. State the following before asking for prices.
As an Amazon Associate I earn from qualifying purchases.
Equipment and specification
- Give the exact tool, model or performance specification, such as capacity, power, reach or operating weight.
- List every accessory needed to complete the work: blades, bits, hoses, batteries, chargers, buckets, guards, ramps and attachments.
- Ask whether accessories are included, optional, charged per day or subject to their own deposit.
- Confirm that the quoted item is available for the complete period, not merely an equivalent item that may be substituted.
Dates and charging period
Provide the required collection or delivery date, the planned return date and the working days and hours when the tool will be on site. Ask how the provider defines a hire day, whether weekends are charged, whether there is a minimum term and when the charging clock stops. A quote that covers three calendar days may be priced differently from one that covers three working days.
Location and access
Give the full delivery postcode, site address, access restrictions, floor level, parking arrangements and any timed-entry rules. Tell the provider whether the equipment will be delivered to a private address, a construction site or a trade counter for collection. Delivery mileage, vehicle type, waiting time and failed-attempt risk can all depend on these details.

Account status
State whether you are booking as an account customer or a non-account customer. Deposit rules, credit terms, insurance evidence and payment timing can change with account status. Never assume that a policy quoted for an account customer applies to a one-off personal or business hire.
Ask for the payable total, not just a day rate
Request an itemised quotation that shows each charge and identifies whether VAT is included. National Tool Hire’s terms say amounts it may authorise against a customer’s card can include rental, delivery and collection, fuel, certain waiver fees, consumables, VAT, additional charges and deposits; the terms also state that prices are ordinarily exclusive of VAT (National Tool Hire terms and conditions). Treat an unqualified headline price as incomplete until these items are confirmed.
| Quote component | What to ask the provider | What to record |
|---|---|---|
| Hire charge | What is the rate for the exact dates, and is there a minimum or multi-day rule? | Daily, weekly or fixed-period rate and the resulting hire total |
| Delivery | Is delivery included, charged by distance, or dependent on the equipment? | One-way delivery charge and delivery window |
| Collection | Is collection included or priced separately? What happens if a second attempt is needed? | Collection charge, re-attempt charge and off-hire notice method |
| VAT | Are all displayed figures inclusive or exclusive of VAT? | VAT rate, amount and final total payable |
| Deposit or authorisation | Is money taken, or is a card authorisation placed? When is it released and what can be deducted? | Amount, payment method, release trigger and deduction rules |
| Damage protection | Is a waiver mandatory? What losses and excess remain your responsibility? | Price, scope, exclusions and residual liability |
| Fuel and consumables | Must you return a fuel tank full? Which consumables are charged separately? | Included quantities, rates and return standard |
| Contingency charges | What triggers late, cleaning, damage, loss, theft, cancellation or failed-access fees? | Trigger, rate or calculation method |
Ask the supplier to state the total that will be charged for the planned hire and the maximum amount that could be held or authorised at booking. Keep the quote, terms and any later amendment together; a telephone estimate is difficult to audit if the invoice differs.

Understand delivery and collection charges
Delivery is not a standard market-wide amount. Travis Perkins says its delivery charge is confirmed with the quotation and varies by product type in its Tool Hire FAQs. Its delivery terms add that each delivery incurs a delivery charge and each collection incurs a charge (Tool Hire Delivery and Collection Terms). Ask for both legs even when a supplier advertises a delivered price.
Check what the quoted service actually includes
- Does the price cover delivery only, collection only, or both?
- Is unloading to the site entrance included, or is positioning inside the site an extra service?
- Is a timed slot guaranteed, or is it an estimated window?
- What charge applies when nobody is available, access is blocked or the vehicle cannot safely reach the location?
- What notice must you give to end the hire and trigger collection?
Screwfix’s tool-hire terms allow an additional fee when a customer’s action or inaction prevents delivery or collection (Screwfix Tool Hire Terms & Conditions). National Tool Hire lists possible additional charges for repeat delivery or collection attempts, among other events (National Tool Hire terms and conditions). Include these risks in the comparison rather than assuming the first failed attempt is free.
Compare convenience as well as pounds
A cheaper collection charge may require a narrow window, while a higher charge may provide a slot that avoids paying site labour to wait. Record the delivery and pickup window, contact process, vehicle restrictions and the consequence of a delayed collection. If the provider cannot collect on the planned date, ask whether hire continues until collection or stops when you give valid off-hire notice.

Compare deposit terms and the cash they tie up
Deposits vary by supplier, equipment and account status. They are not a reliable basis for a market-wide assumption.
| Provider policy published online | Stated rule | How to use it in a comparison |
|---|---|---|
| Travis Perkins | Its FAQ says a non-account customer’s deposit is three weeks’ hire charge, subject to change by equipment. The same FAQ says a non-account customer’s delivery charge is confirmed in the quotation. | Ask for the exact equipment-specific amount and whether it is paid or authorised. Do not apply the three-week figure to account customers or other suppliers. |
| Jewson | Jewson says a non-account customer’s deposit is quoted and payable in advance. | Require the quoted amount, payment date, refund trigger and permitted deductions in writing. |
| National Tool Hire | Its terms say deposits are required for some larger equipment. | Ask whether the selected machine falls into that category and how the deposit is held and released. |
For current wording, consult the providers’ own pages: Travis Perkins FAQs, Jewson’s tool-hire help page and National Tool Hire’s terms. The written quotation and contract for your postcode and dates take priority over a general help-page statement.
Questions that prevent a deposit dispute
- Is the deposit a payment, a refundable holding amount or a temporary card authorisation?
- When does the release process start: return to the branch, inspection, invoice settlement or another event?
- How long does the provider normally take to release or refund it, and does the bank add processing time?
- What can be deducted: late hire, cleaning, fuel, damage, missing accessories, loss, theft, transport or unpaid invoices?
- Will the provider notify you before making a deduction and provide an itemised explanation?
A lower deposit can preserve working capital but still come with wider liability. Compare the amount held, the time it remains unavailable and the evidence required to challenge a deduction.
Do not treat a damage waiver as full insurance
Protection products use different wording and leave different liabilities. National Tool Hire defines its Hire Shield options as waivers and expressly states: “This is a waiver of rights and not an insurance product.” Its terms describe limits of £50 or £200 toward a stated £1,700 hired-in plant claim excess. Those figures are provider-specific contract terms, not a general insurance standard (National Tool Hire terms and conditions).
Travis Perkins says waiver cost appears in the quote and describes automatic application for some equipment valued above £5,000, with an account-customer exception where adequate insurance exists (Tool Hire FAQs). Ask the supplier to identify exactly when protection is mandatory for your item.

- Price: state the charge for the complete hire period and whether VAT applies.
- Trigger: establish whether the waiver applies to accidental damage, theft, loss, misuse or only a defined claim excess.
- Exclusions: check unattended equipment, incorrect operation, unauthorised movement, water or weather damage, missing parts and late reporting.
- Residual exposure: record the excess or liability that remains after the waiver.
- Evidence: ask what photographs, incident report, police reference or maintenance records are required.
Compare the waiver with any existing hired-in plant or business policy only after checking the policy’s equipment, location, excess and notification conditions. A waiver may be simpler for a one-off hire, while an existing policy may be more suitable for repeated work; the contract decides what is actually covered.

Allow for fuel, consumables and event-based charges
Charges can depend on what happens during use and return, not just on the booking date. National Tool Hire lists fuel, consumables, late extension, cleaning, damage, loss, theft and repeat delivery or collection attempts among possible amounts (National Tool Hire terms and conditions). Ask for the return standard for fuel, batteries, attachments and cleanliness.
Write down the off-hire process. Find out whether a phone call, online form, email or branch notice is required, the deadline for giving notice and whether the hire continues until the tool is collected. Confirm extension rates before the original end date; an extension agreed after the due time may be priced as a late return.
Check cancellation terms as carefully as extension terms. A provider may have ordered transport or reserved a specialist machine even if the tool has not reached your site. Ask when cancellation becomes chargeable and whether a failed delivery counts as a completed delivery for fee purposes.
Use a repeatable quote-comparison worksheet
Use one row per provider and complete every cell from the written quote or contract. Enter “not stated” when a point is not established, then ask for clarification before booking.

Calculate the planned payable total as hire plus delivery, collection, VAT, mandatory protection, fuel and known consumables. Then create a separate exposure total containing the deposit or authorisation and the published rates for events that could occur. Do not call one provider cheapest unless the equipment, dates, location, account status and service arrangement are matched and current quotes are available.
Protect your position at handover and return
Condition evidence can determine whether a deposit is returned in full. Before the tool leaves the depot or delivery vehicle:

Screwfix’s terms tell customers to check equipment on receipt and report problems, missing parts or inability to operate (Tool Hire Terms & Conditions). National Tool Hire’s terms require immediate examination and set a two-hour reporting period, subject to statutory consumer rights (National Tool Hire terms and conditions). A prompt written report is safer than relying on a later statement that the fault was present at delivery.
At return, clean the tool to the agreed standard, refuel or recharge it as required, include every accessory and obtain a receipt or collection record. Keep the return photographs until the deposit or authorisation has been released and the final invoice is settled.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Check dated surcharges and changing terms
Published prices and policies are date-sensitive. Jewson’s help page states that a temporary £5 fuel surcharge excluding VAT applied to deliveries and tool-hire orders from 23 April 2026, whether delivered or collected, and could be adjusted in line with fuel prices (Everything you need to know about hiring tools from Jewson). That is a dated provider notice, not a permanent or market-wide charge. Ask whether a surcharge is active on the date of your quotation and whether it is included in the displayed total.
Save the version of the terms that accompanied your booking. If a web page changes between quotation and return, your contract and written confirmation are the evidence of what was agreed. Supplier prices, stock, postcode coverage, deposit rules and delivery capacity can change without creating a universal industry rule.
Common comparison mistakes and their fixes
Comparing daily rates with different hire periods
Problem: one quote uses a one-day rate and another uses a weekly minimum. Fix: price the exact planned period, including the provider’s charging convention and any weekend rule.
Assuming delivery is free because it is not shown
Problem: an unpriced line is mistaken for an included service. Fix: require separate delivery and collection figures and ask what a repeat attempt costs.

Treating a deposit as the only financial risk
Problem: a small deposit is preferred even though damage, loss or late-return liability is broad. Fix: compare the deposit, protection exclusions, excess and event-based charges together.
Ignoring VAT status
Problem: an ex-VAT quote appears cheaper than an inclusive quote. Fix: put all providers on the same VAT basis and compare the final payable amount.
Relying on a verbal promise about a refund
Problem: staff say the deposit will be returned quickly but the contract gives no timing. Fix: obtain the release trigger, deduction rights and notification process in writing.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsFailing to give valid off-hire notice
Problem: the tool is unused but hire continues because collection was not requested correctly. Fix: follow the stated notice channel and retain confirmation with the date and time.
Final checks before accepting a quote
- The equipment, accessories, dates, postcode, account status and hire period match across all quotes.
- The final total identifies VAT and includes delivery, collection and mandatory protection.
- The deposit or card authorisation amount, release trigger and permitted deductions are clear.
- Fuel, consumables, cleaning, late return, extension, cancellation, damage, loss, theft and failed-access charges are stated.
- Delivery and pickup windows, off-hire notice and delayed-collection charging are documented.
- You know how to report a fault and the deadline for doing so.
- You have saved the quote, contract, terms, handover photos and return record.
Bottom line
The sound comparison is the total cost and contractual exposure for one identical job, not the largest number in an advert. Match the specification and dates, obtain every charge in writing, test the deposit and protection rules, and price the consequences of delay, damage and failed access. Use the current quotation and contract for your equipment, postcode and dates because supplier policies are provider-specific and can change.
