Choose AI construction software for a specific, expensive workflow—not for an impressive-sounding AI label. Define the task, identify the people and project records involved, then compare products on data access, integrations, field usability, traceable answers, human approval, security, implementation effort and measurable pilot results. A document assistant, a preconstruction tool and a progress-monitoring system require different inputs, so the best choice depends on your team’s actual work.
Start with one workflow and a measurable problem
AI construction software can retrieve and summarize project information, surface risk patterns, assist with preconstruction, draft records and compare observed site progress with planned work. Those capabilities are not interchangeable. A useful selection process begins by writing down the workflow you want to improve before looking at product demonstrations.

Write a problem statement
Describe the task in operational terms:
- Task: What must be done, such as finding a requirement in specifications, preparing an RFI, checking submittal information, updating a daily record, reviewing bid or takeoff data, or comparing installed work with the schedule?
- Owner: Which superintendent, project engineer, estimator, safety manager, project manager or administrator performs it?
- Frequency: How often does it occur, and at which project stages?
- Inputs: Which drawings, specifications, RFIs, submittals, issue records, photos, schedules, models or financial records are authoritative?
- Improved result: What would success look like—shorter cycle time, fewer manual steps, more complete records, earlier risk detection or better schedule visibility?
For example, “use AI” is not a testable objective. “Help project engineers locate specification requirements and draft an RFI from the current drawing set, with a source citation and human approval” is specific enough to evaluate. So is “compare weekly 360-degree site captures with the BIM model and schedule to identify delayed interior fit-out work.”
Prioritize a recurring pain point
Choose a process that happens often enough to generate evidence during a pilot and has a clear cost when it goes wrong or takes too long. Document retrieval, submittal review, daily reporting, takeoff support, safety-risk review and progress tracking can all be candidates. Do not begin with a general claim that a platform will make the company “smarter”; begin with a queue of work your team can measure before and after adoption.

Match the product category to the job
Construction AI products generally fall into different operating models. The following categories are a starting point for discovery, not a ranking. The ACEC’s October 2025 AEC AI primer also identifies generative design, schedule and risk prediction, site-safety monitoring, document review and predictive maintenance as application areas; it does not independently rank products or establish their performance. Read the ACEC AEC AI primer.
| Approach | Typical functions | Required context | Best fit and qualification |
|---|---|---|---|
| Broad construction-platform AI | Natural-language assistance, document management, risk assessment, project-record actions and preconstruction automation | Connected drawings, specifications, RFIs, submittals, issues, photos, schedules and related project records | Teams seeking assistance inside an existing project system. Verify which functions are included in the edition and package you would buy. |
| Progress and schedule intelligence | Analyze site captures against BIM and schedule data, estimate installation progress and surface schedule risk | Repeatable 360-degree camera, drone or laser-scan capture; usable BIM; a maintained schedule | Projects where physical progress needs objective, repeatable comparison with planned work. Capture operations and model quality are part of the purchase decision. |
| Workflow-specific AI | Examples include generative design, safety monitoring, document review, predictive maintenance or a focused estimating task | Data and approvals specific to the selected workflow | Teams with a narrow requirement and a specialist process. Confirm export, integration and hand-off steps before assuming it will cover adjacent work. |
Broad platforms can reduce the number of systems users switch between, but their value depends on the quality and connectivity of the underlying records. A specialist product may offer deeper analysis for one task while requiring a separate model, capture or integration workflow. Compare the complete process, including what happens after the AI produces a suggestion.
Check whether your data can support the promised result
AI cannot reliably answer questions from records it cannot access, records that are out of date or records that conflict with one another. Autodesk advises evaluating AI in a connected project environment containing drawings, specifications, RFIs, submittals, issues, photos and schedules. Its buyer checklist also recommends checking for centralized data and practical integrations. These are Autodesk’s recommendations, not independent proof that one platform is superior. See Autodesk’s construction AI overview and the buyer guide updated September 27, 2022.

For the pilot workflow, list where each required record lives and who can change it. Include revision-controlled drawings and specifications, the RFI and submittal logs, issue and observation records, daily logs, photos, schedules, cost or financial data and BIM models where relevant. Note duplicate repositories, scanned documents, naming conventions, missing metadata and records that are routinely updated outside the official system.
Ask a vendor to demonstrate the exact version and permission state of a record, not a prepared sample. A useful test is to provide a representative drawing set or specification and ask the system to locate a requirement, show the relevant source and handle a revision. For a progress workflow, provide the model and schedule you actually use and confirm how the system identifies areas, activities and dates.

- Both the DEWALT impact driver and drill driver feature integrated LED work lights with a convenient 20-second delay, ensuring enhanced visibility in dimly lit or challenging work areas
- One-Handed Loading - Keep one hand free with a 1/4 in. hex chuck that accepts 1 in. bit tips
- Which integrations are included, and which require a paid module, custom work or an export?
- Are updates synchronized, or does a user have to upload and reconcile files manually?
- What happens when a drawing, model, schedule activity or record is revised?
- Can you export generated text, classifications, issues, logs and audit information in a usable format?
- What data remains available if you stop using the product?
Do not accept “integrates with your stack” as a complete answer. Request the connector name, supported objects, frequency, direction of data flow, error handling and responsibility for maintaining it. A technically available integration that does not pass the records your workflow needs is not a practical integration.

Use a consistent evaluation scorecard
Give every candidate the same workflow, records and questions. Score evidence from a live demonstration, documentation, a pilot and the contract rather than relying on feature names.
| Evaluation axis | Questions to ask | Evidence to require |
|---|---|---|
| Workflow coverage | Does the product support the task from input through review, correction, approval and downstream recording? | A demonstration using your process map, including an exception and a rejected suggestion. |
| Data context | Can it use the current drawings, specifications, RFIs, submittals, issues, photos, schedule and model relevant to the task? | A test with representative, revision-controlled records and an explanation of how conflicts are handled. |
| Integration and portability | Can required information move to and from the tools your team already uses? | Connector scope, synchronization behavior, export formats and support responsibilities in writing. |
| Field usability | Can intended users perform the required action on mobile devices and under actual site conditions? | A field test with the people who will capture, review or approve records—not only administrators. |
| Traceability and permissions | Can a user see the source for an answer, correct it and approve a consequential action? Do existing project permissions still apply? | Live examples of citations, role boundaries, audit history and staged changes. |
| Security and data handling | Where is information processed and retained? Which models or subprocessors are involved? Is customer data used for training? How are deletion and access controls enforced? | Current security documentation and product-specific contractual commitments. |
| Implementation and support | What configuration, cleanup, integration, training, hardware and support are required, and how long will launch take? | A project-specific implementation plan, named support contacts and assumptions. |
| Commercial fit | What is the complete cost over the term, including modules, integrations, storage, training, hardware and support? | A written total-cost proposal with renewal, usage and overage terms. |
Require human review, source tracing and permission controls
AI output can influence safety, cost, schedule, contractual obligations and construction quality. Keep a qualified person accountable for those decisions. The product should make review straightforward rather than presenting a generated answer as an approved project fact.
Traceability
Ask the system to answer a question from your records and show exactly which files, pages, model elements or entries support the answer. Test an answer when two documents conflict and when the relevant requirement is absent. Determine whether the user can open the source, see its revision and report or correct an error.
Approval and staged actions
If an AI agent can create or update an RFI, change event, daily log or action plan, verify whether the proposed change is staged for review and who can approve it. Procore describes its own AI as tracing answers to source files, following existing permissions and requiring sign-off before agents take action; its support overview says proposed changes are staged for human review. Treat those statements as product descriptions and confirm the behavior, package and regional availability in your demonstration and contract. Read Procore’s AI description and its AI support overview.

Security, privacy and intellectual property
Obtain product- and contract-specific answers about processing locations, retention, encryption, subprocessors, model providers, customer-data training, deletion, backups, incident notification and access logging. Ask who owns generated content and how project information is separated from other customers. Autodesk states that privacy, security and intellectual-property protection are part of its AI approach, but that general statement does not replace a review of the particular product, edition and agreement.
Evaluate field adoption, not just administrator features
A system that works in a conference-room demonstration can fail if field users cannot capture information quickly or if the process adds duplicate entry. Put the intended superintendent, foreman, project engineer, safety professional and administrator in the test group as appropriate.
- Run the workflow on the mobile devices and connectivity conditions used on site.
- Measure the time to capture a photo, observation, issue or progress input, including authentication and synchronization.
- Check whether users can find the right project, location, drawing revision or schedule activity without specialist knowledge.
- Test offline behavior, conflict resolution and recovery after a failed upload.
- Define who reviews AI suggestions and how corrections are fed back into the normal process.
- Train users on what the system can and cannot decide; do not present generated text as a substitute for professional judgment.
Ask vendors for adoption support, but make your own field test the deciding evidence. Ease of use is relevant only for the people who must perform the work under real project conditions.
Account for capture, BIM and schedule requirements
Progress-intelligence products have prerequisites that a general document assistant may not. Buildots describes capturing site footage with 360-degree cameras, drones or laser scans, then comparing those captures with BIM and schedule data to estimate progress and support decisions. Its examples include underground utilities, structural progress and interior fit-out. See Buildots’ product description.
Capture workflow
Determine who operates the camera, drone or scanner, how often routes are repeated, where files are uploaded and how missing or obstructed areas are handled. A 360-degree camera is an optional input, not a universal requirement for construction AI; confirm compatibility before purchasing hardware.
Model and schedule quality
Check whether the BIM model contains the elements that must be measured and whether schedule activities are sufficiently detailed, dated and linked to locations. Clarify how revisions, resequencing, access constraints and work that is not modeled are represented. A poor model or stale schedule can limit the usefulness of a technically capable analysis.

Processing and service commitments
Buildots says setup usually takes a few weeks and captures are processed within 24 to 36 hours. Those are vendor-stated estimates, not an independent service-level guarantee. Ask for project-specific commitments, support hours, processing limits and what happens when a capture is incomplete or delayed.

Design a representative pilot before selecting a platform
A pilot should answer whether the product works for your people, records and constraints—not whether a scripted demonstration looks convincing.
- Choose the project and workflow. Select a representative project, not an unusually clean data set. Name the users, records, approvals and downstream systems involved.
- Record the baseline. Measure current cycle time, manual steps, completeness, correction rate, missed or false alerts, adoption and operating cost for the selected task.
- Define acceptance criteria. Agree on the minimum acceptable source accuracy, review time, export quality, permission behavior, integration reliability and user participation before the pilot begins.
- Prepare real data. Include normal revisions, incomplete records, conflicting documents, permission boundaries and the exceptions that consume staff time.
- Run the same cases through each candidate. Keep prompts, files, users and review rules consistent. Do not let a vendor substitute a curated demonstration for your test.
- Review failures as well as successes. Log unsupported questions, incorrect or incomplete answers, duplicate records, missed alerts, false alerts, synchronization errors and time spent correcting output.
- Calculate the operating burden. Include licensing, configuration, integration work, data cleanup, capture labor, hardware, training, support and ongoing administration.
- Make a controlled decision. Keep a qualified person responsible for safety, cost, schedule, contractual and quality decisions. Select the option that meets the acceptance criteria with a sustainable process, or stop if none does.
Use a baseline-and-pilot approach because the reviewed vendor pages do not provide a neutral cross-vendor benchmark for accuracy, savings, implementation cost or total cost of ownership. Vendor benefit language can help identify hypotheses to test, but it is not proof of your expected return.

Buildots
Buildots represents a more specialized progress-and-schedule approach: capture site conditions, compare them with BIM and schedule data, estimate installation progress and surface schedule risks. It can be relevant where the team can maintain usable models and schedules and perform repeatable captures. The workflow is not a substitute for those prerequisites; include capture labor, hardware, model preparation and schedule maintenance in the business case.

Comparable public pricing is not established for these products, so request a written total cost rather than comparing subscription headlines. Include:
- Base software and required AI modules or packages
- Implementation, configuration and data migration
- Integration development, connectors and ongoing maintenance
- Storage, usage, processing or overage charges
- Mobile devices, 360-degree cameras, drones or scanners when the workflow requires them
- Training, change management and internal administration
- Premium support, service-level commitments and renewal terms
- Data export, retention and deletion requirements at contract end
Set an implementation owner and a launch plan that names data cleanup, permission mapping, integration testing, user training, pilot review and production support. Ask the vendor to state assumptions—for example, the number of projects, document volume, capture frequency, schedule complexity and required response time—so a low initial quote does not conceal work your team must perform.
Red flags that should stop or narrow a purchase
- The demonstration uses generic documents and the vendor will not test your representative records.
- The product cannot show the source, revision or permission behind an answer.
- An agent can write consequential records without a defined review and approval step.
- “Integration” means a manual export that omits the fields your workflow needs.
- The proposed result depends on BIM, schedule or capture quality that your team cannot maintain.
- Users must duplicate field entries in both the AI product and the system of record.
- Security, model-provider, training-use or deletion terms are left to informal assurances.
- The business case relies on an unverified savings percentage instead of a measured baseline.
- The quote excludes implementation, storage, hardware, support or renewal costs.
- The vendor cannot explain what happens when the AI is uncertain, wrong or unavailable.
Make the decision by evidence, not by the AI label
The strongest choice is the product that solves one defined workflow with your actual records, fits field and office routines, connects to the systems that remain authoritative, exposes its sources and permissions, keeps humans in control of consequential actions and demonstrates acceptable results in a representative pilot. If a candidate requires cleaner data, better models, more reliable captures or a process your team cannot sustain, those prerequisites belong in the decision—not in a future promise. Recheck product names, package contents, integrations, security terms, regional availability and total cost immediately before signing because these details are volatile.
