How to Audit and Troubleshoot AI Agent Actions in Construction Workflows

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To audit an AI agent in a construction workflow, join the agent’s run record to the construction platform’s own event history. For every attempted action, establish what triggered the run, which project object was involved, what the agent requested, what the platform accepted or rejected, which identity executed it, when it happened, what changed, and whether a person approved, overrode, or reversed it. If an event appears to be missing, first check the correct module log, event coverage, date range, permissions, and adjacent progress or workflow histories. A blank activity view is not proof that no action occurred.

What a defensible AI-agent audit must prove

An audit is not simply a screenshot of an activity tab. It is a chain of evidence connecting an agent run to a project-side result. Construction projects contain drawings, sheets, issues, reviews, cost items, files, and workflow states stored in different modules. An agent may read one object, call an API for another, receive a rejection, and then ask a person to approve a third action. The audit has to preserve that sequence.

A practical audit record should answer these questions for each material action:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Trigger: What event, schedule, message, or user request started the run?
  • Scope: Which account, project, module, object ID, file version, issue, review, or cost item was in scope?
  • Intent and request: What did the agent try to do, including the tool or API operation and relevant parameters?
  • Result: Did the platform accept, reject, defer, or partially perform the request? What response or error was returned?
  • Identity: Which named user, service account, or delegated identity made the request? Shared credentials weaken attribution.
  • Time: When did the trigger, tool call, platform event, approval, and reversal occur, including time zone?
  • Change: What value, status, permission, file, comment, or workflow transition changed?
  • Human control: Who approved, rejected, overrode, corrected, or rolled back the action?

This field set is an operational design for construction teams, not a published construction-agent standard. It applies the traceability and logging ideas in the voluntary, sector-agnostic NIST AI Risk Management Framework Core to project records.

Start by defining the workflow and its risk

Before reviewing logs, write down what the agent is supposed to do and what it must never do. A useful workflow map names the construction object, the permitted operation, the decision boundary, and the human control.

Workflow example Possible agent activity Control decision to document
Drawing or sheet review Read a revision, identify a mismatch, or propose a markup May propose findings; a qualified person approves changes to issued documents
Issue management Create an issue, update fields, assign a trade, or add a comment Define which field updates are automatic and which require approval
Review workflow Prepare a submission or move a review toward the next state Require a named reviewer for acceptance or rejection
Cost control Read a cost item, suggest a status change, or submit a workflow action Limit financial transitions and record approval authority
File administration Rename, move, upload, or update metadata Prohibit destructive operations unless a human confirms them

Classify actions as propose, human-approved, automatically permitted, or prohibited. Record the agent version, prompt or policy version, connected tools, permission scopes, and expected oversight. The NIST framework organizes voluntary risk work around Govern, Map, Measure, and Manage and treats risk management as a lifecycle activity. Its Measure guidance supports testing, documented metrics, monitoring, and incident follow-up; it does not create construction-specific legal duties.

Build a joinable run record

The most important technical control is a stable identifier that appears in agent telemetry and can be associated with project-side evidence. A run ID by itself is not enough if the platform never records it, so store the ID with exact timestamps, object IDs, and request details that an investigator can match.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Minimum fields for each run

  • Stable agent run ID and, where applicable, parent workflow or conversation ID.
  • Triggering user, event, schedule, webhook, or queue message.
  • Agent name, version, configuration or policy version, and connected tool version.
  • Input data references and the validity range the agent was designed to handle.
  • Project, account, module, object type, object ID, file or sheet version, and related parent object.
  • Tool-call name, method, parameters or a securely stored representation, and the platform response.
  • Start and end timestamps with time zone, latency, retry count, and correlation ID.
  • Outcome: accepted, rejected, deferred, timed out, partially completed, or unknown.
  • Human approval, rejection, override, correction, or rollback, with identity and timestamp.
  • Links or immutable references to exported platform records and incident tickets.

Log enough input and configuration context to explain an action, while applying the project’s privacy, security, and records policies. Protect tokens, credentials, personal data, and sensitive drawing content; an audit trail should not become an uncontrolled copy of the project.

Reconcile the agent record with platform history

Reconciliation compares what the agent says it attempted with what the construction platform says happened. Do not treat either side as complete on its own.

  • One-Handed Loading - Keep one hand free with a 1/4 in. hex chuck that accepts 1 in. bit tips
  1. Match the scope. Confirm account, project, module, object type, and object ID. Similar names are not reliable identifiers.
  2. Normalize time. Convert timestamps to a common time zone and account for queue delays, retries, and asynchronous processing.
  3. Compare the requested operation. Check the agent’s tool call against the platform event’s action type, status transition, comment, and changed value.
  4. Verify identity. Determine whether the platform event names the same user or service identity used by the agent. A shared account can show that a credential acted, but not which person or process controlled it.
  5. Classify the outcome. Distinguish accepted changes from validation errors, permission denials, no-op updates, deferred jobs, and actions performed indirectly by a workflow.
  6. Check human intervention. Look for approval, rejection, edits after the agent’s action, or a later reversal. Preserve the ordering rather than reporting only the final state.
  7. Store the evidence set. Retain the agent export, platform export, request and response, relevant file or object history, and any incident record under the organization’s retention policy.

For cost workflows, Autodesk Platform Services announced a Forma Cost API GET action-histories endpoint in 2025. Its description says entries can include action type, item type and ID, operator, timestamp, status changes, and comments: Autodesk Platform Services cost action histories announcement. Check the current API reference, scopes, tenant availability, and service behavior before relying on it in an integration. These entries can establish what happened in that cost workflow; they do not expose the agent’s complete internal reasoning.

Know which construction log contains which evidence

Construction platforms often divide evidence by module. An administrator activity log, a file’s activity view, review progress, and cost action history may all describe different event sets. The comparison below is a starting point for designing an investigation, not a claim that one product exposes every field in every tenant.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Evidence source What it can establish Important limitation or check
Account or project activity log Documented administrative and project events, actor, time, and often object context Coverage is limited to the product’s tracked event list and selected date range
File activity view File-level activity such as actor, action, object, folder, and target details Viewer permissions may be required; it is not a complete agent telemetry record
Review progress history Progress through a review workflow Progress may be stored separately from the review’s Activity tab
Cost action history Cost workflow actions, status changes, operator, time, and comments where supported API access, scopes, endpoint behavior, and available fields must be verified
Agent-side telemetry Trigger, prompt or input context, tool calls, retries, model and policy version, and responses It may not prove that the platform committed a change

Autodesk Forma and Construction Cloud: a concrete investigation path

The following examples use Autodesk documentation because they illustrate a common problem: related records live in different views. Product behavior and labels can change, so confirm the current documentation for the tenant and module in use.

Activity Log

Autodesk’s Activity Log FAQs state that the Forma Activity Log records Admin, Data Management, Issues, and Sheets activities and can export an activity report. The documented default filter is the last 31 days, with filtering available for up to 12 months. Those are interface limits described by Autodesk, not legal retention periods. The FAQ also directs investigators to confirm that a missing event is included in the supported tracked-activities list.

File activities

Autodesk Docs provides a separate file activity view. According to View File Activities, members need Edit permission or higher to view file activities. Users can filter by actor, activity, and time period, then export records. The export includes date, activity, username, action, action type, object name, folder name, and target name. A file export is therefore useful when an agent changed a document or its metadata but should not be mistaken for a complete project audit.

Review progress

Autodesk support explicitly states that the review Activity tab does not record review-progress activities and directs users to the Progress tab: reviewer activity versus progress guidance. If an agent appears to have advanced a review and the Activity tab is blank, inspect Progress before concluding that the transition failed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Access and suspected misuse

For project access, Autodesk support says an account administrator also needs to be a project administrator to access the project Activity Log. Its guidance on suspicious account use recommends reviewing the project Activity Log and removing the account from the account and projects; if removal is not possible, change its password immediately. Follow your organization’s incident process and preserve evidence before altering access where doing so would destroy useful records. See Autodesk’s activity-history and suspected-misuse guidance.

When an expected event is missing

Investigate in this order. The objective is to distinguish “not recorded in this view” from “not attempted,” “rejected,” and “not yet visible.”

  1. Confirm the project and module. A file action, issue change, sheet event, review transition, and cost action may be stored in different histories.
  2. Check documented event coverage. Compare the suspected operation with the platform’s supported tracked-activities list. If it is not listed, the absence is expected for that view.
  3. Expand the date range. Check the selected start and end dates, time zone, and the platform’s available history window. Export records before they age out under the interface limit.
  4. Verify permissions. Confirm project membership, project-administrator status where required, module permission, and export rights. A user who cannot see an event may simply lack access.
  5. Inspect adjacent histories. For reviews, check Progress rather than only Activity. For files, open the file activity view. For costs, check the supported action-history API or workflow record.
  6. Search agent telemetry. Match run ID, object ID, timestamp, request, response, retry, and queue status. A permission error or timeout explains why no platform change exists.
  7. Check indirect execution. A workflow may perform a later action under a service identity, or a no-op request may leave no visible change.
  8. Preserve and escalate. Export the relevant views, freeze or copy the agent record, record the discrepancy, and raise it through platform support or the internal incident process.

Do not write “no action occurred” merely because one activity tab has no row. The defensible statement is narrower: “No matching event was found in this view, for this object and date range, with the permissions available to the investigator.”

Respond to an unexpected or harmful action

1. Preserve the evidence

Save the agent run, tool requests and responses, platform exports, file and object history, workflow state, identities, timestamps, and related communications. Record who collected each item and when. Preserve the pre-change and post-change state where possible.

2. Establish impact

List affected drawings, sheets, issues, reviews, cost items, users, permissions, downstream notifications, and external deliverables. Identify whether the action was merely proposed, committed, distributed, or used to make a later decision.

3. Contain the source

Pause the agent, revoke or narrow its token, disable the integration, remove a compromised account, or change its password according to organizational procedures. Use a distinct service identity rather than a shared human credential where the platform supports it. Coordinate containment with the project and security owners so that an emergency change does not erase evidence or interrupt a critical safety workflow.

4. Recover deliberately

Restore the correct file, status, assignment, or permission using an approved process. Have a qualified person verify the recovered state and notify affected users if an incorrect issue, review, drawing, or cost status was distributed.

5. Record and learn

Document the failure mode, root cause, impact, detection time, response time, corrective action, and whether the fix prevents recurrence. Add a regression test for the same workflow and monitor production behavior after the change. NIST’s Measure Playbook guidance supports documented evaluation methods and metrics, ongoing monitoring, incident tracking, and response and recovery planning.

Controls that make future audits easier

  • Use least privilege. Give the agent only the project, module, object, and operation scopes it needs.
  • Separate proposal from commitment. Let the agent draft an issue, markup, or cost recommendation while requiring an identifiable human approval for consequential transitions.
  • Use unique identities. A named service account or delegated identity makes attribution stronger than a shared login.
  • Require correlation IDs. Put the run ID in supported comments, metadata, webhook payloads, or an integration database where appropriate and safe.
  • Make retries idempotent. Before repeating a failed request, check whether the original succeeded but its response was lost.
  • Alert on high-risk actions. Monitor permission changes, deletion or replacement, review advancement, cost-status changes, bulk edits, and activity outside the agent’s declared scope.
  • Keep an override path. People need a documented way to pause, reject, reverse, or quarantine an agent action.
  • Test representative cases. Include missing data, duplicate events, expired permissions, rejected requests, time-zone boundaries, and partial platform outages.
  • Export on a schedule. If a product exposes only a finite searchable window, copy records to an approved system before they expire, consistent with contract, jurisdiction, policy, and legal advice.
  • Review after every material change. Reassess prompts, policies, model versions, tools, permissions, and alert thresholds after upgrades or workflow changes.

How to compare logging and monitoring options

Comparison axis Questions to ask
Event coverage Does it record administration, files, issues, sheets, review progress, costs, API calls, and agent-side events?
Attribution Does it identify the human or service identity, and are shared accounts excluded?
Time and object detail Are timestamps, time zone, project and object IDs, action type, status transition, and comments available?
Search and export Can investigators filter by actor, event, date, object, and run ID, then export a durable report?
History window How long is data visible, and can records be preserved before the window closes?
Permissions Who can view, export, administer, or delete logs?
Joinability Can platform records be correlated reliably with agent run IDs and tool-call records?
Response support Are there alerts, approval gates, human override, containment, incident tracking, and recovery procedures?

Retention, metrics, and governance

A visible history window is not a retention rule. The documented 31-day default and up-to-12-month filter in Autodesk’s Activity Log are product-interface behavior, not a contractual or statutory period. Set retention with the project contract, jurisdiction, organizational policy, information-governance requirements, and platform capabilities, using appropriate records and legal stakeholders.

Track measures that reveal whether the control works, such as the percentage of runs with complete correlation IDs, unmatched agent actions, rejected or unauthorized requests, time to detect, time to contain, approval bypass attempts, rollback success, and recurring failure modes. Define the denominator and measurement period so a trend is interpretable. Do not claim a construction-wide AI error or incident rate: the available sources do not establish one.

NIST says its AI RMF was developed over an 18-month period with participation from more than 240 organizations. That figure describes framework contributors, not construction AI adoption, reliability, or audit performance. The framework is voluntary and sector-agnostic, and NIST indicates that a revision is in progress. Use it as a governance structure, then adapt controls to the project’s contractual, safety, security, and records obligations.
