Overview

PropertyTrace is UK property inspection software for letting agents, inventory clerks, property professionals and landlords. It brings inventory, inspection, check-in, check-out and compliance reporting together. Its mobile app supports work without a connection: users can take photos, record condition ratings and add notes offline, then sync those details when connectivity returns.

Reports cover inventory, check-in, midterm and check-out inspections and are exported as branded PDFs. Tenants can review a report through a web link, sign digitally and flag disagreements within a configurable 7-, 14- or 30-day warranty period. PropertyTrace is a specialist tool for rental-property workflows rather than construction project management.

It is listed as freemium, with a free plan and a 30-day trial. Paid plans are based on property volume, with a separate Tours Pack. AI drafting is optional and incurs charges outside the free trial.

Key features

Inspections that work offline

The mobile app supports photo capture, condition ratings and notes while offline, then syncs the inspection data after reconnection. Custom checklists and issue tracking are also supported, giving users ways to structure inspections and record problems.

Reports and compliance workflows

PropertyTrace produces branded PDF reports for inventory, check-in, midterm and check-out inspections. Its compliance workflows cover HHSRS, HMO, Fitness for Human Habitation and Legionella assessments.

Tenant review and sign-off

Tenants receive a web link to review reports, sign digitally and raise disagreements. The review period can be configured to 7, 14 or 30 days.

Optional AI drafting

AI can suggest report wording based on photos or room recordings. Suggestions are not added to a report unless the user accepts them. Photo analysis costs 6p per item and audio drafting costs 15p per recorded minute; AI use during the free trial is not charged.

Integrations, support and data

The maker lists integrations with calendar feeds, Slack, Dropbox, Xero, FreeAgent and Street.co.uk. Live chat is available in the app and on the website, and the maker says support comes from its UK-based product team.

The maker says primary customer data is stored in the UK London region, while some infrastructure processes data in the US under transfer safeguards. Subscription payments are handled by Stripe, which the terms describe as PCI-DSS-compliant. PropertyTrace says it does not store full card details.

Who it's for

PropertyTrace is aimed at UK letting agents, inventory clerks, property professionals and landlords who need to produce and manage property inspection, inventory and compliance reports. Its offline mobile workflow suits inspection work where a connection may not be available, while tenant review and digital sign-off support the handover and reporting process.
