Overview

SmartBid is bid management software for general contractors, including prime, commercial and residential GCs. It brings project bidding, subcontractor qualification, proposal review and compliance tracking into a shared workflow. Contractors can organize bid projects, invite subcontractors, issue addenda and receive proposals through the system.

The software has served general contractors since 2006 and was acquired by ConstructConnect in 2018. Its online plan room stores project files centrally and lets contractors set customized access and editing permissions. SmartBid says project data is private and secure, shared only with people granted access; plan-room file storage uses Microsoft Azure Cloud.

Key features

Bid invitations and plan room

Contractors can organize bid projects, send invitations and addenda, and give subcontractors a way to upload proposals. The plan room provides a central place for project files, with permissions that can be tailored for access and editing. It can connect with cloud storage services including Dropbox, SharePoint, Google Drive, Box, ShareFile, Egnyte, OneDrive, OneDrive for Business, CMIS, Alfresco and AWS S3.

Subcontractor qualification and proposal review

SmartBid supports subcontractor prequalification using ConsensusDocs 721 forms or a custom questionnaire builder. Its BidTabs feature helps estimators calculate proposals and compare subcontractor bids side by side, which can make differences between submissions easier to review.

Compliance tracking

The Compliance module tracks subcontractor licenses, certificates of insurance and W-9 documents. It also uses OCR to reduce manual data entry. SmartBid lists integrations with Procore, Autodesk BIM 360, Dropbox, STACK, ConstructConnect Network, SmartInsight, ShareFile and ConsensusDocs.

Pricing

SmartBid is a paid product, with pricing available on request. It lists an Annual Standard License billed annually; the price is not published. Access scales annually by number of users, while subcontractors invited to bid or prequalify get access at no cost. A free plan is also listed, but further details are not provided.

Some support packages cost extra. Contact SmartBid for current license pricing and package details.

Platforms

SmartBid requires no installation and is available through an internet connection, as well as Android, iOS and Windows mobile apps. The license includes API access. Listed platforms also include web and Windows.

Who it's for

SmartBid is aimed at general contractors managing bids, with its stated audience covering prime, commercial and residential GCs. Its invitations, plan room, proposal comparison, prequalification and compliance tools are relevant to contractors coordinating multiple subcontractors and project documents. Subcontractors can upload proposals and receive bid or prequalification invitations at no cost under the Annual Standard License.

Homeowners planning a renovation may find the software more relevant as context for how a contractor organizes a bid than as a direct tool for choosing materials or managing a household project.

Verdict

SmartBid covers the core coordination work of subcontractor bidding, from invitations and project files to proposal comparison and compliance records. Its fit is clearest for general contractors that want those tasks in one bid-management workflow and are comfortable requesting pricing rather than comparing a published rate. The no-cost access for invited subcontractors and mobile availability may also suit teams working across office and field settings.
