Assemble the latest drawings and permits, prepare a floor-by-floor field sketch, establish references and units, then document the building and site systematically with measurements, photographs and clearly qualified notes. Capture deviations from design, visible services, levels, openings and inaccessible areas—not just room lengths. Finish with editable CAD or BIM files, a dated PDF set, a photo index, raw survey data and an assumptions or discrepancy schedule.
What an as-built plan must document
An as-built plan records the physical conditions that exist on site at the time of the survey. Depending on the assignment, it may describe a building, a site, or both. The scope determines the required accuracy, drawing scale, level of detail, authority review and professional sign-off. Confirm those requirements before fieldwork; there is no single accuracy tolerance that applies to every building or jurisdiction.

- Building geometry: footprint, wall locations, room sizes, floor and ceiling levels, roof form, openings and vertical circulation.
- Site context: property or lease boundaries, roads, drives, neighboring structures, access routes, utilities, drainage, retaining features and surface changes.
- Construction and services: structural members, shafts, chases, equipment, visible electrical and plumbing points, ducts, grilles and access panels.
- Evidence: numbered photographs, field notes, control points, raw instrument or scan files and a record of what was measured, inferred or inaccessible.
For legal boundaries, coordinated survey control, major irregular sites or concealed conditions, engage a qualified land surveyor or specialist survey team. A room-measurement exercise cannot substitute for a boundary survey or an authority-specific submission.
Prepare before arriving on site
Collect the available record set
Request the latest architectural, structural, civil, mechanical, electrical and plumbing drawings. Add permit drawings, revisions, previous as-built files, specifications and any survey or scan data. Mark the revision and date of each document. These records provide a comparison baseline, but they are not proof that the work was built exactly as shown.

Define the field package
Print or load a field sketch for every floor, roof area and site zone. Leave room for dimensions, control information, photo numbers and observations. Decide the room, elevation and photo numbering system before measuring so the same identifiers carry through to the final drawings.
Confirm people, access and safety
- Name the site contact and confirm arrival instructions.
- Obtain access permission and identify locked rooms, restricted plant areas, roof access and areas that may contain concealed work.
- Complete the site safety briefing and identify active construction, energized equipment, fragile surfaces, standing water, vegetation and other hazards.
- Determine whether ladders, roof equipment or other access gear are permitted and who is responsible for safe use.
Pack and check the equipment
Bring a laser distance meter for repeated room and wall dimensions, a tape measure for short, curved or irregular details, spare batteries, a flashlight, PPE, a clipboard or tablet, durable pens, a ladder or approved access equipment and a camera or phone. Verify that the instrument is functioning, set the project units and carry a backup method for critical dimensions.
Set control, units and references first
Write the project header on every field set
Record the project address, survey date, weather where it affects observations, surveyor or crew, instrument used and measurement units. If more than one person collects data, identify who measured each area. Use one unit system throughout the fieldwork; if conversion is unavoidable, convert once and record the original and converted values.
Establish a usable reference system
Identify or establish a datum, benchmark, north direction and control points whenever the work needs coordinated survey information. Describe the points from which measurements are taken, not merely the resulting numbers. Tie the building to durable features such as property corners, grid intersections, road edges, utility structures and other identifiable landmarks.
Write the reference point beside every critical dimension. “3,240” without a unit, baseline and endpoint cannot be reliably interpreted later. A dimension should identify its unit, the two points measured and, where relevant, the level or grid line.
Measure the site and exterior
Locate the building in its surroundings
Measure the building footprint and offsets to property lines, roads, driveways and neighboring structures. Capture enough surrounding context to locate the building unambiguously on the site plan. Show access paths and clear boundaries where the plan will be used for property or authority purposes.

Record walls, projections and site features
- External wall lengths, corners, changes in direction and wall thickness where observable.
- Projections, setbacks, overhangs, porches, decks, stairs, ramps and retaining walls.
- Fences, gates, pavement edges and other surface changes.
- Spot levels and floor-to-ground relationships where grades affect access, drainage or sections.
- Drainage inlets and outlets, manholes, culverts and visible utility routes where relevant to the scope.
Survey the roof
Measure the roof outline, eaves, ridges, valleys and parapets. Locate penetrations, plant, rooftop equipment, access points and roof drainage. Photograph unusual junctions, damaged areas and equipment labels. If a roof area cannot be reached safely, mark it as inaccessible rather than estimating its geometry.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Measure each floor systematically
Start with an outside check
On each level, take overall outside dimensions before filling in rooms. Then measure interior spaces. Compare room totals, wall thicknesses and circulation widths with the exterior dimensions. Take diagonals or cross-check dimensions in an independent direction to reveal skewed rooms or accumulated errors.
Capture walls and structural elements
- Wall lines and thicknesses, including changes in thickness.
- Structural grids, columns, beams and transfer elements that are visible.
- Shafts, chases, niches, fireplaces and built-in cabinetry.
- Floor-to-floor heights, finished ceiling heights, soffits, bulkheads, steps, ramps and level changes.
Use a consistent convention for dimensions taken to finished faces, structural faces or centerlines. Note the convention on the sketch and drawing legend so later users do not mix unlike measurements.
Measure doors and windows completely
For every opening, record width, height, sill height, head height, frame depth and direction of travel. Add swing and handing for doors. Identify openings that are blocked, concealed by finishes or only partially visible. A plan that shows an opening without its height or swing may be inadequate for coordination, accessibility or replacement work.
Document stairs and level changes
Measure stair width, individual rise and run, landing dimensions and available headroom. Locate guards and handrails, note their extents and record the direction of travel. Measure ramps and intermediate level changes, not just the top and bottom elevations.
Give service spaces extra attention
Kitchens, bathrooms, plant rooms and other service spaces often control later design. Locate fixtures, clearances, access panels and visible equipment. In plant areas, record equipment tags, dimensions, connection points and maintenance clearances where visible. Photograph labels and connections so the drawing can distinguish one item from another.

Record visible services and construction changes
Map what can be seen
Locate electrical panels, outlets, switches and luminaires. Record plumbing fixtures, valves and cleanouts. Show visible ducts, grilles, equipment and service routes. Include ceiling devices and access panels where they affect coordination. The objective is to document observable conditions, not to imply that a hidden route has been verified.
Separate measured facts from inference
Mark every item as measured, visible, inferred or inaccessible in the field notes and, where useful, in the drawing. Never present an inferred pipe route, concealed beam or hidden cavity as a measured fact. If a ceiling, wall or floor prevents verification, describe the obstruction and the evidence supporting any assumption.
Compare the work with the latest design
Overlay or otherwise compare field observations with the latest design and record deviations: moved walls, changed openings, altered grades, relocated equipment, different routes, omitted work and additions. Include alignment, right-of-way, grade, drainage, sewers or conduits, monuments, fences, gates, pavement and access changes when they fall within the project scope.
Take photographs that can be used later
Follow a repeatable sequence
Take an orientation photograph at each entrance. Then work through every room, elevation, roof area and site zone in a consistent direction. A sequence that starts at the doorway and proceeds clockwise is easy to audit and reduces omissions.
Photograph the evidence, not just attractive views
- Corners and wall, ceiling and floor junctions.
- Doors, windows, stairs, ramps and unusual transitions.
- Equipment labels, utility connections, valves, panels, grilles and access points.
- Damage, irregular construction, water staining and other conditions that affect design decisions.
- Every accessible concealed-work location before it is closed, including open ceilings, wall cavities, trenches and service zones.
Make images measurable and traceable
Include a scale or known reference when useful. Keep the camera square to the feature when documenting dimensions, avoid glare and take additional oblique views for depth or connections. Number every image and write that number on the field sketch at the photographed location. Maintain a photo log with filename, location, direction of view, subject, date and time, and the related measurement or drawing reference.
Protect data quality in the field
Use independent checks
Repeat critical dimensions from a second direction or with a second method. Check room totals against exterior dimensions. Re-measure any value that conflicts with the sketch, drawings or adjacent spaces. Flag unresolved discrepancies for a return visit instead of silently choosing a convenient number.

Describe limitations precisely
List inaccessible rooms, locked panels, hidden ceiling spaces, vegetation, standing water, active work and safety restrictions. State what could not be observed and whether the limitation affects a particular dimension, service route or drawing area. A clear limitation protects downstream users from treating incomplete information as complete.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsPreserve the raw record
Keep original photographs, field notes, instrument files, scan data and control-point information. Do not overwrite raw files when correcting names or annotations; create a working copy and retain the original. A complete survey record may include raw conventional files, GPS observation files, photos, field notes, topographic-feature files and control-point files.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Choose the measurement workflow
The right method depends on the purpose, not on the appearance of the building. Use the following decision points before selecting equipment or engaging a specialist.
| Decision factor | Tape and laser measurement | Professional survey or scanning |
|---|---|---|
| Accuracy and tolerance | Suitable when the project specification accepts direct field dimensions and manual checks. | Appropriate when the specification requires coordinated control, tighter tolerances or a formal survey record. |
| Building size and complexity | Efficient for smaller, accessible buildings with straightforward geometry. | More suitable for large, irregular or highly complex buildings and sites. |
| Boundary or coordinate control | Does not replace a legal boundary or coordinated control survey. | Use when property limits, grid coordinates or survey control are part of the deliverable. |
| Access and safety | Requires safe physical access to each measured feature. | Can reduce time in difficult areas, but still requires a competent team and safe scan positions. |
| Concealed-work documentation | Depends on openings and visible exposure; inaccessible areas must be reported. | Captures exposed geometry rapidly, but neither method verifies work that remains physically concealed. |
| Deliverable format | Must be converted from field notes into editable CAD or BIM and checked. | Can provide point clouds or coordinated survey data that still require controlled processing into the requested drawings. |
| Budget and turnaround | Often practical for limited scope and readily accessible areas. | Justified where the cost of missed geometry, rework or legal uncertainty is greater than the specialist fee. |
For repeated room and wall dimensions, a laser distance meter paired with a tape measure covers most ordinary field conditions. For a large, irregular or legally sensitive site, specify the required survey control, accuracy, deliverable format and sign-off when requesting a professional service or equipment rental.

Common failure modes and corrections
Only measuring room length and width
This omits wall thickness, openings, levels, structure, services and site relationships. Correct it by following the exterior, floor, opening, service and photo checklists in sequence.
Leaving numbers without references
Unlabelled dimensions cannot be reconstructed reliably. Add units, endpoints, level and baseline beside every critical value.
Using photos without a location system
A folder of unnamed images is difficult to audit. Number images on the sketch and maintain a log with location, direction, subject and related drawing reference.
