The current competition conditions decide whether you may enter, who may be on your team, what rights you keep and exactly how you must submit. Treat the official brief and conditions for that edition as the controlling document. General guidance can show the issues to check, but a board size, team cap, fee, deadline, file type or copyright licence from another competition cannot be assumed to apply to yours.
Start with the official competition conditions
Before designing, download the complete brief, conditions, appendices, forms and any issued clarifications. The Office of the Victorian Government Architect describes conditions as covering the competition format, timeframe, jury, eligibility, anonymity and everything else connected with running the competition. That broad scope matters: a technically excellent design can still be rejected for an administrative breach.

Record the edition, issuing body, publication date and the deadline time zone. Keep a versioned copy of every amendment and clarification. If an answer from the organizer changes the brief, save the written response with your project records and apply it consistently to every team member.

| Who can enter? | Eligibility, definitions and exclusions | An unqualified member can invalidate the whole team. |
| How many people may enter? | Team-composition and representative clauses | Unlisted contributors may not receive formal recognition or rights. |
| What rights are granted? | Copyright, licence, publication and commissioning clauses | Submitting may authorize uses beyond judging. |
| How is anonymity protected? | Identification and lodgement instructions | A name or hidden metadata can reveal authorship. |
| What files are required? | Submission schedule and technical specification | Wrong dimensions, format or security settings can cause exclusion. |
Who is eligible to enter?
Professional and student categories
Eligibility is not universal. A Council of Architecture model lists registered architects, qualifying architectural firms and qualifying students, while excluding promoters, assessors and certain associates from competing or assisting. A different organizer may admit a wider field, impose nationality or age conditions, or create separate student and professional sections. Read the definitions in your edition rather than relying on the competition’s title or marketing description.

Students may need proof of current enrollment, a named supervising professional or a specified graduation date. A registration number, firm certificate or other professional evidence may also be required. If the condition asks for proof at registration and again at submission, provide it twice in the requested form.
Multidisciplinary and international teams
Europan illustrates a broader model: a team can include an architect together with professionals from related urban and architectural disciplines and eligible students, subject to that session’s rules. International participation may be permitted, restricted to listed countries or tied to a local partner. These are edition-specific choices, not a general definition of an architecture competition.
Conflicts and prohibited assistance
Check whether organizers, jury members, assessors, technical advisers, employees of the promoter or their close associates are barred from entering or helping. A conflict rule can apply even when the person is not shown as an author. Ask the organizer before registration if a consultant, former employee or family connection could fall within an exclusion.

Can you enter alone or with a team?
Individual entries
An individual entry is usually the simplest administrative structure, but you still may have to identify consultants, students, visualizers, engineers or other contributors. “Individual” does not automatically mean that nobody else contributed to the design.
Team caps and representatives
Team limits, representative requirements and signature rules are set by each organizer. Some conditions name one official representative for notices and payment; others require every member to sign declarations. Do not infer a maximum from another event. If the rule says only registered members count, an unregistered collaborator may be unable to claim team status or prize recognition.
List every contributor accurately
Victoria guidance recommends listing team members to prevent complicated intellectual-property disputes. Europan requires separate eligibility documents for each member and says only people who register correctly and submit their documents separately count in the final team composition. Use the exact legal or professional names requested, preserve accents and initials where required, and keep a copy of every declaration.

Agree internally on authorship, ownership, prize distribution, expenses and authority to communicate with the organizer before filing. A short written team agreement is especially useful when a firm, student and external consultant are collaborating. It should not contradict the competition conditions.

What copyright do you keep?
The baseline rule may preserve your copyright
The Council of Architecture guideline states: “Each competitor shall retain Copyright in his own competition design.” It also states: “Each competitor shall retain the right of reproduction of his own competition design.” Those provisions protect the competitor under that model; they are not a promise that every organizer uses identical wording.
Read ownership and licence clauses together
Retained copyright does not necessarily prevent the promoter from using submitted material. Victoria guidance says entrants retain copyright while the client may receive specified archival, communications and publicity rights. Check whether the conditions authorize copying, display, publication, adaptation, translation, digital storage or use in future reports, and whether those rights are limited by purpose, territory, duration or attribution.

Look separately for clauses on the winning scheme, a later commission, design development, moral rights, credit, third-party content and payment. A promise of a commission may be conditional on negotiation, approvals or the winner’s availability. Do not assume that winning automatically transfers ownership or guarantees appointment.
Clear third-party material
Maps, photographs, fonts, textures, stock imagery, survey data and software exports can carry rights held by someone other than the team. NIFC expressly bars third-party-copyright violations. Obtain permission where needed, keep licence records and replace material whose licence does not cover competition submission, publication or public exhibition.
Why are entries anonymous?
Anonymity is intended to give the jury equal conditions. Council of Architecture rules require anonymous designs. NIFC uses identification numbers, sealed envelopes and removal of identifying information from electronic files; it warns that an entry that reveals its authors can be excluded.

- Clog resistant tip writes on dusty, wet and oily surfaces and is optimized for rough surfaces such as OSB, cinderblock and concrete

Where names commonly leak
- Title blocks, drawing borders, logos, signatures and team biographies.
- PDF author, creator, producer and revision metadata.
- Image metadata, BIM properties, object names and hidden layers.
- File names, folder names, upload account names and cloud-share links.
- Web links, QR codes or embedded presentations that expose a practice or person.
- Sealed identification material placed in the wrong envelope or uploaded with the design.
Make a clean anonymous export, inspect it on a different computer and use the organizer’s identification number exactly as instructed. Do not rely on a visible cover page alone; hidden properties can still identify the author.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What must you submit?
Build a submission matrix from the issued brief. Include every drawing, written statement, form, proof document, payment record and technical constraint. The following examples show why copying another competition’s format is unsafe.
| Organizer example | Published requirements in the cited guidance | What it demonstrates |
|---|---|---|
| NIFC | Up to two horizontal boards measuring 100 × 70 cm; an A3 booklet; sealed identification material; 300-dpi JPG, PDF or TIF drawings; PDF text; and an IFC 2×3 BIM model. | A competition may combine physical-style boards, documents, anonymity controls and a BIM deliverable. |
| Europan | Specified PDF pages and orientation; some documents in vertical A4; English or bilingual text; separate PDF eligibility uploads. | Page geometry, language and eligibility files can be controlled independently. |
These are examples from named programs, not universal standards. Your current conditions may require different dimensions, page counts, resolution, naming, compression or model versions.

Technical checks before upload
- Make a table with one row per required item and copy the condition’s wording into it.
- Confirm physical dimensions and orientation in the source units; do not resize a board to fit a portal without permission.
- Export the specified file type and resolution. Open every file after export to check fonts, line weights, image links, page order and legibility.
- Remove passwords, encryption and other access controls unless the organizer explicitly requires them. NIFC expressly excludes secured electronic files.
- Strip identifying metadata and test that links, QR codes and embedded files do not reveal the team.
- Use the required naming convention, identification number and upload folders.
- Upload early enough to download the portal’s received copy and verify that it opens.
What can disqualify an entry?
- An ineligible person, undisclosed conflict or team member lacking required proof.
- Missing declarations, signatures, identification material or fee evidence.
- Copyright infringement or unlicensed third-party content.
- Names, logos, metadata or other information that reveals the authors.
- Wrong board or page dimensions, file type, resolution, language or BIM version.
- Password-protected, corrupted or otherwise inaccessible files.
- Late submission, the wrong portal, an incomplete upload or failure to follow physical-lodgement instructions.
Victoria guidance cautions that improper lodgement may lead to disqualification and stresses clear protocols about where, how and when entries are lodged. NIFC expressly identifies third-party infringement, author identification and secured electronic files as exclusion risks. Treat a portal receipt as evidence of successful lodgement only if the conditions say it is; otherwise confirm that every required file was accepted.
How to compare two competitions before choosing one
| Comparison axis | Questions to ask |
|---|---|
| Eligibility breadth | Are registered professionals, students, multidisciplinary entrants or international teams permitted? Are there age, nationality or conflict limits? |
| Team structure | Is entry individual or capped? Is a representative required? Must every contributor be disclosed and provide proof? |
| Rights | Do competitors retain copyright and reproduction rights? What licence covers exhibition, publication, archives or publicity? Is attribution promised? |
| Submission burden | How many boards or pages, which dimensions, resolution, languages, file formats, models and anonymity controls are required? |
| Administration | What are the fee, deadline and time zone, question process, jury disclosure, prizes or honoraria, and confirmation procedure? |
Choose the competition whose eligibility, rights and workload you can satisfy—not merely the one with the most attractive brief. A low entry fee does not offset a submission format your team cannot produce reliably, and a prestigious jury does not change the copyright terms.
A practical compliance workflow
- Qualify the team. Match every proposed member to the eligibility definitions and conflict exclusions.
- Assign responsibility. Name the representative, document owner, file checker and person authorized to submit.
- Agree rights internally. Record authorship, consultant contributions, prize allocation and permission to use third-party material.
- Build the submission matrix. Include dimensions, formats, naming, language, anonymity, forms, proof and deadline.
- Prepare anonymous exports. Remove visible and hidden identifiers and verify the identification method.
- Run an independent audit. Have someone who did not prepare the files check every condition and open every deliverable.
- Lodge and preserve evidence. Submit before the cutoff, save receipts and retain the exact uploaded files and confirmation messages.
If a requirement is ambiguous, ask the organizer through the stated questions channel and keep the answer. Do not quietly choose the more convenient interpretation.
