Measure the area, use an official room-AC chart as a starting point, then check sun, shade, occupancy, installation fit, efficiency, noise and controls. A room-size chart is not a substitute for commercial HVAC design when cooling a large or multi-zone workplace.
Start with the office’s cooling area
Measure the floor area you intend to cool. For a rectangular room, multiply its length by its width; for an irregular layout, divide it into simpler shapes and add their areas. If a door or open plan connects the office to other spaces, consider whether the air conditioner must cool only the enclosed room or a larger connected area.
ENERGY STAR’s room-air-conditioner sizing chart assumes an 8-foot ceiling. For example, it maps 250–300 square feet to 7,000 Btu/h and 300–350 square feet to 8,000 Btu/h. The chart also lists 5,000 Btu/h for 100–150 square feet and 6,000 Btu/h for 150–250 square feet. Use the ENERGY STAR room-air-conditioner guidance and its capacity chart as baseline guidance, not as a complete commercial load calculation.
Adjust the baseline for conditions in the room
ENERGY STAR’s room-AC guidance recommends reducing capacity by 10% for a heavily shaded room, increasing it by 10% for a very sunny room, and adding 600 Btu/h for each regular occupant beyond two. These are adjustments to the chart’s starting point, not a substitute for assessing a space with unusual heat loads or a ceiling higher than the chart’s 8-foot baseline. The guidance also gives a 4,000 Btu/h kitchen adjustment; that condition generally does not apply to an ordinary office.

Office computers and other equipment, window exposure, ceiling height, climate and the number of people can all affect the cooling requirement. If those conditions are substantial or the office is part of a larger open area, seek a site-specific assessment rather than treating the room chart as an engineering specification.
Why choosing a larger unit can backfire
A higher Btu/h rating is not automatically better. ENERGY STAR explains that an oversized room unit can cool the air before it has removed enough humidity, leaving the room cool but damp or clammy. The guidance also cautions that an oversized air conditioner can cost more and waste energy. Matching capacity to the room supports comfort as well as efficient operation.

Compare installation fit, efficiency and day-to-day operation
Confirm the mounting and electrical requirements
Room air conditioners may be designed for a window or through-wall installation. Before selecting one, confirm that the opening and building rules allow the mounting type, check the unit’s voltage against the available supply, and find out whether a support bracket is required. ENERGY STAR’s certified room-air-conditioner dataset includes product information such as voltage, mounting type and bracket support. Verify the details for the exact model; a category-level listing is not a substitute for its installation instructions.
Consider efficiency over the equipment’s life
Look for current ENERGY STAR certification when comparing eligible room units. For an efficiency premium, compare the additional purchase cost with expected energy savings over the equipment’s service life rather than relying on the label alone. The U.S. Department of Energy’s Federal Energy Management Program explains this lifecycle-cost approach in its room-air-conditioner purchasing guidance, updated in December 2024. That guidance covers room air conditioners and excludes portable air conditioners; do not assume its acquisition criteria apply to portable models.

Weigh noise and controls for the work setting
Variable-speed compressors can adjust output instead of repeatedly switching between maximum and off. ENERGY STAR describes variable-speed operation as a way to regulate temperature more quietly and save energy. Some models also offer connected scheduling or energy-use feedback, but features vary: check the exact model’s specifications rather than assuming they are standard.

A window or through-wall room air conditioner may suit one enclosed office, but a large workplace or multiple independently cooled zones calls for a different assessment. ENERGY STAR’s commercial criteria include variable refrigerant flow (VRF) multi-split systems, which use individually controlled indoor units. VRF is one commercial HVAC category, not a universal recommendation; a qualified professional should size a system to the building and its zones.

Office air-conditioner selection checklist
- Measure the area to be cooled and note ceiling height.
- Use the ENERGY STAR room chart as a baseline, then account for sun, shade and regular occupants.
- Consider connected spaces and meaningful equipment heat; obtain a site-specific assessment for unusual loads.
- Match mounting type and voltage to the building, and verify bracket and installation requirements.
- Compare current efficiency certification, variable-speed operation, noise and the controls you will actually use.
- For broad or multi-zone cooling, evaluate commercial HVAC rather than extrapolating a room-unit chart.
