A greener office does not require a major renovation. Start by preventing waste, then reduce avoidable electricity use, make correct sorting convenient, and purchase products that last. These four measures work in a construction company headquarters, project office, or temporary site office, while leaving building-system decisions with the people who control them.
Use the sequence below to assign responsibilities, check local requirements, and track whether each change is working.

The four actions at a glance
| Action | First practical move | Likely owner | Useful evidence |
|---|---|---|---|
| Print less and print efficiently | Set printers to duplex and make digital sharing the default | Every employee; IT or office administration for defaults | Paper orders, printer settings, and avoided reprints |
| Cut avoidable electricity | Enable computer and monitor power management | Employees, IT, and facilities | Power settings, lighting rounds, and building energy data |
| Sort waste accurately | Obtain the hauler’s accepted-material list before labeling bins | Facilities, custodial staff, and office users | Hauler instructions, contamination observations, and waste volumes |
| Buy thoughtfully and reuse | Specify recycled content and relevant product certifications in purchasing rules | Procurement and department leads | Purchase records, product documentation, and reuse rates |
The actions reinforce one another. Avoiding a purchase is usually better than finding a disposal route for it, and measuring waste or energy gives a facilities team a way to prioritize larger improvements. The EPA’s green-building principles place these operational choices within a broader facility strategy.

Construction offices often handle drawings, specifications, change orders, invoices, safety documents, and meeting packets. Not every page needs a paper copy. The EPA’s workplace guidance recommends printing only when needed, using duplex and draft settings, reusing office folders and envelopes, and purchasing recycled paper.

Make digital the normal route
Before printing, ask whether the recipient needs a physical page or only the information. Share a controlled digital file when the document will be reviewed on screen, signed electronically, or used briefly in a meeting. For project teams, use the approved document-management system so that a digital-first policy does not create uncontrolled versions of plans or contracts. Keep a clear naming and revision convention; otherwise employees may print simply because they cannot tell which file is current.
Set printer defaults that prevent waste
- Open the printer properties or managed print console used by your office.
- Set two-sided (duplex) printing as the default for printers that support it.
- Choose draft or economy quality for internal drafts where legibility remains adequate.
- Leave higher-quality, single-sided output as an intentional selection for contracts, permit submissions, presentation sheets, or other documents that genuinely require it.
- Place a short reminder near shared printers explaining how to select duplex, draft, or a limited page range.
Test the defaults with the paper sizes and drivers used in your office. A setting that works for an administrative printer may not be suitable for a plotter or a field printer. Do not force duplex on media or equipment that cannot handle it safely.
Reuse paper products before recycling them
Keep a clearly marked tray for clean, one-sided scrap that is suitable for notes, checklists, or internal markups. Reuse folders and envelopes for interoffice circulation when confidentiality and condition permit. Keep client, personnel, and contract information out of general reuse stock; secure destruction rules take priority over paper savings.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesAsk procurement to specify recycled-content printer paper for routine use. Record the paper specification on the purchase request so a lower-priced, nonconforming substitute is not selected automatically. Paper reduction is best demonstrated by fewer reams ordered and fewer reprints, not by shifting the same volume into a different waste container.

2. Cut avoidable electricity without a major renovation
Many energy improvements are operational rather than construction projects. ENERGY STAR’s commercial-building guidance points to power management for computers and monitors, turning lights off when leaving a room, and keeping air vents unobstructed. Its guidance for small and medium-sized office buildings also identifies low- or no-cost operating changes and employee behavior as useful complements to building upgrades.
Use the controls employees actually have
- Enable automatic sleep or display-off settings on computers and monitors.
- Shut down equipment that does not need to run overnight, following IT, security, and software-update requirements.
- Turn off room lights when the last person leaves, unless a safety or security rule requires them to remain on.
- Keep furniture, boxes, and stored materials clear of supply and return vents so the HVAC system can distribute air as designed.
- Report hot, cold, noisy, or poorly ventilated areas instead of using unauthorized space heaters, fans, or blocked diffusers.
For a construction project office or trailer, check the equipment list before changing settings. Some devices support remote access, overnight data processing, alarms, or monitoring and therefore need an approved exception.
Coordinate building-level schedules
Employees cannot change a central plant, thermostat lockout, or HVAC schedule safely on their own. Give facilities operators a list of actual occupancy hours, recurring evening work, cleaning periods, and seasonal needs. They can then evaluate schedules, zones, controls, and maintenance without compromising comfort or equipment protection. ENERGY STAR describes coordination between operational improvements such as HVAC scheduling and employee actions as part of an effective building approach.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Measure before claiming savings
Start with a simple record: current computer power settings, lighting schedules, reported comfort problems, and available utility or building-management data. Compare the same type of information after the change. Avoid claiming a specific energy reduction unless your meter, utility bill analysis, or building-management system supports it. If the office is part of a larger property, ask the landlord or facilities team which data can be shared and at what frequency.

3. Make waste sorting easy and accurate
A recycling station only works when its labels match the service that actually collects the material. Accepted items, preparation requirements, and collection methods vary by jurisdiction and hauler. The U.S. General Services Administration’s workplace guidance recommends coordinating with the recycling hauler and custodial staff before setting up stations.
Confirm the service before buying bins
- Ask the hauler for its current accepted-material list, preparation rules, pickup schedule, and contamination requirements.
- Ask custodial staff how materials are moved from desks and kitchens to the collection point.
- Identify materials generated by your office that are not covered by ordinary recycling, such as certain packaging, batteries, lamps, electronics, or construction-related items.
- Keep the hauler’s written instructions with the office waste procedure and assign someone to check for service changes.
Do not publish a generic “recycle everything” chart. A material that is recyclable somewhere may be rejected by your local program.
Place stations where waste is created
Use clearly labeled containers at printers, kitchens, copy areas, meeting rooms, and work points where employees make disposal decisions. Labels should use words and examples that match the hauler’s list; photographs can help when several containers look alike. Put residual-waste and recycling containers together so users can choose correctly without walking across the office.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
In a project office, include a station near the plan-printing area and another near deliveries or unpacking. Keep confidential-document destruction separate from ordinary paper recovery. Ask custodial staff to report recurring contamination or overflowing containers; those observations identify a labeling, placement, or service problem rather than an individual to blame.

Review performance without guessing
Establish a starting point for waste quantities or service frequency before changing the system. The ENERGY STAR waste-tracking guidance recommends creating a baseline and focusing first on prevention and reuse. Track what your hauler can reliably provide, such as container lifts, weights, invoices, or documented service changes. Use the result to adjust container sizes and pickup frequency, not to manufacture a percentage improvement that the data cannot support.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.4. Buy thoughtfully and prevent waste upstream
Purchasing decisions determine how much material enters an office and how long it remains useful. EPA and ENERGY STAR place prevention and reuse ahead of simply managing discarded materials. Apply that hierarchy before adding a new product to a catalog.
Use a purchasing sequence
- Ask whether the item is needed. Check existing stock, shared equipment, and digital alternatives before creating a new order.
- Reuse or repair what is serviceable. Reassign folders, mugs, binders, furniture, and supplies that remain safe and functional.
- Specify durable, compatible products. For paper, state the required recycled content. For equipment and lighting, consult relevant ENERGY STAR or EPEAT guidance and verify compatibility with existing fixtures, software, voltage, controls, and warranties.
- Follow workplace procurement rules. Document approval thresholds, preferred vendors, accessibility requirements, information-security controls, and any landlord or project-owner standards.
- Plan the end of useful life. Keep manuals, asset records, and return or take-back requirements so equipment does not become unidentified waste.
Choose products on evidence, not a green label alone
Ask suppliers for the recycled-content percentage or certification documentation that applies to the exact product and model. A certified product still has to fit the existing printer, lamp, electrical system, network, or maintenance program. The least-wasteful purchase is not useful if it fails early, cannot be repaired, or forces disposal of compatible equipment.
Extend the useful life of everyday supplies
Provide reusable mugs and kitchenware where hygiene and cleaning arrangements support them. Keep shared supplies in a visible inventory so employees do not order duplicates. Reuse folders and envelopes when confidentiality and condition allow, and remove obsolete project paperwork through the approved records process rather than storing it indefinitely.

Turn four tips into an office program
Assign one coordinator and one backup, but give each action to the person with authority to change it. Employees can adjust personal print and power settings; IT can manage defaults; facilities can coordinate HVAC and lighting; custodial staff can improve station placement; procurement can set product specifications. A short written procedure prevents the program from depending on one enthusiastic employee.
Use a 30-day rollout
- Days 1–5: Record current paper orders, printer defaults, visible waste stations, known service instructions, and available energy or waste data. Ask employees where confusion or avoidable rework occurs.
- Days 6–10: Confirm recycling requirements with the hauler and custodial team. Identify the facilities and IT contacts for power management, lighting, vents, and schedules.
- Days 11–20: Apply duplex and draft defaults where appropriate, enable approved power settings, reposition and label collection stations, and publish purchasing specifications for recycled-content paper and documented certifications.
- Days 21–30: Check printer output, station contamination, comfort reports, supply orders, and any available utility or service data. Correct confusing instructions and record exceptions.
After the first month, review the measures on a schedule that fits your billing and collection cycles. ENERGY STAR tools can help organizations benchmark building energy and track waste, water, and energy information when the required data is available. Use the same definitions and reporting period each time so a change in collection frequency is not mistaken for a change in waste generation.
Common pitfalls and practical fixes
| Pitfall | Why it fails | Fix |
|---|---|---|
| A paperless rule with no document-control process | People print duplicate or outdated project files to avoid version confusion. | Use an approved digital repository, revision naming, and a clear rule for documents that legally or operationally require paper. |
| Automatic shutdowns applied to every device | Updates, monitoring, security, or field coordination may be interrupted. | Let IT define exceptions and communicate them with the reason and review date. |
| Bins purchased before service requirements are known | Containers and labels do not match the collection contract. | Obtain the hauler’s instructions first, then select container types and locations. |
| Vent or thermostat changes made by unassigned staff | Comfort, equipment performance, and safety can worsen. | Route building-system requests to facilities and provide occupancy information. |
| Buying a “green” replacement that is incompatible | Early failure or a forced retrofit creates new waste and cost. | Verify model, fixture, network, maintenance, warranty, and procurement requirements before ordering. |
| Counting collections without a baseline | More or fewer pickups may reflect scheduling rather than less waste. | Choose a consistent metric and compare like periods using hauler or facility records. |
Optional office plants: a limited consideration
Plants may improve how a workplace feels, but they are not a substitute for ventilation or a reliable air-cleaning system. The GSA’s indoor-environmental-quality guidance advises employees to check workplace plant policy and consider the effect of interior plants on building moisture. Treat plants as optional furnishings: confirm maintenance, pest control, water management, and landlord rules before adding them.

The standard to use
A green office is one that prevents unnecessary material use, avoids electricity waste within its operating authority, makes the correct disposal choice obvious, and buys only what can be justified, maintained, and reused. Start with the four changes above, document who controls each decision, and let measured results—not assumptions about labels, bins, or behavior—guide the next improvement.
