The safest and most practical approach is not to add everyone to one smart-lock account. Give each person an individual credential matched to their role and the time they need access: named accounts for trusted recurring users, unique keypad codes for simple entry, schedules for temporary access, supported platform integrations for reservations, and a routine for auditing and removing credentials.
Features vary by exact lock model, keypad, hub, app, region, and integration. The steps below provide a system that works across common consumer and rental setups while identifying where manufacturer instructions must take precedence.
Match each person to the right access method

An app invitation, administrator account, virtual key, keypad PIN, key card, fob, fingerprint, and physical key are different credentials. A lock may support several of them without giving them equivalent permissions.

1. Create named accounts with least-privilege permissions
Use named accounts for people who need recurring access, notifications, remote unlocking, or an ongoing relationship with the property. Yale uses access levels with Guest as the default for invited users (Yale access levels), while the current Schlage Home app supports Admin and Guest permissions (Schlage virtual keys).

Setup procedure
- Identify the exact lock, keypad, bridge or hub, and app.
- Install the manufacturer’s app, update it and the lock firmware, and complete the owner setup.
- Confirm the lock works locally and is online before inviting anyone.
- Invite each person individually using the email address or phone number attached to that person’s account.
- Assign the lowest permission level that meets the person’s needs. Reserve administrator rights for people who must invite users, change schedules, or manage devices.
- Have the recipient accept the invitation and finish account setup before relying on the credential.
- Test the user’s access at the closed door and record who has administrative rights.
Yale says invited guests must create an account and download the Yale Access App. A recipient who starts the first-device setup flow instead of accepting the invitation can be unable to finish because the lock is already associated with the owner’s account (Yale invitation guidance). If an invitation does not arrive, verify the contact information, check spam or blocked messages, and resend it.
Account rules
- Use one account per person so access can be attributed and revoked.
- Do not circulate the owner’s password among family, cleaners, or staff.
- Decide whether the user needs remote unlocking or only local entry.
- Remove the account when employment, tenancy, a lease, or a booking ends.
2. Create a unique keypad code for each person or role
Keypad access is usually the least-friction option for guests, children, cleaners, contractors, and anyone who should not install an app. Supported Kwikset combinations can create named access codes for family, dog walkers, cleaners, short-term guests, Airbnb guests, and delivery personnel (Kwikset named codes).

Code-management procedure
- Install and test a compatible keypad.
- Create one code per person or narrowly defined role.
- Label it clearly, such as “Cleaner,” “Maya,” or “Plumber—August 18.”
- Set a schedule when the lock supports one.
- Test the code at the keypad with the door closed.
- Send it privately and explain any required confirmation button.
- Delete or disable it when the work, stay, or relationship ends.
Never use one PIN for the entire household if individual codes are available. Avoid addresses, birthdays, sequential digits, and easily guessed phone-number fragments. Keep an offline record of which credential belongs to whom, but do not place actual codes in an unsecured shared document. Schlage Connect documentation lists up to 30 access codes for that model; do not apply that number to every Schlage lock (Schlage Connect).

When a code fails
- If it is saved in the app but rejected, check synchronization, supported code length, and whether it was created for the correct lock.
- If it works at one door but not another, verify the assigned device.
- If it works outside its hours, check the timezone, daylight-saving behavior, and whether the lock received the latest schedule.
- If the motor strains, test the bolt with the door open and closed; mechanical misalignment can look like a code problem.
3. Schedule temporary and recurring access
Use the shortest practical window. A one-time credential suits a contractor or inspection; a date range suits a visiting relative or vacation guest; a recurring weekly schedule suits a cleaner or dog walker; permanent access belongs only to trusted household members and long-term staff.

Important distinctions
- A time-limited PIN controls keypad entry.
- A recurring PIN allows entry only on specified days and times.
- A temporary app invitation may provide app features in addition to unlocking.
- A reservation-generated code is managed by a booking integration.
- A physical key, card, fob, home key, or fingerprint may remain valid independently of app schedules.
Yale distinguishes app-based guest access from personal entry codes used with a compatible keypad (Yale guest-access types). Level lists guests, passes, key cards, key fobs, home keys, and keypad codes, although availability depends on the exact model and accessories (Level access methods).
Scheduling safeguards
- Start access shortly before arrival, allowing a reasonable late-arrival margin.
- End it after checkout or the expected work period, not weeks later.
- Account for stays that cross midnight and verify the property timezone.
- Do not depend on a remote schedule until you know how the lock behaves offline.
- Remember that a unit lock may not open a shared building entrance, gate, garage, or amenity room.
4. Automate Airbnb access with a supported integration
Airbnb announced integrations for compatible August, Schlage, and Yale locks for hosts in the U.S. and Canada, using a unique code for each reservation (Airbnb announcement). August says compatible locks and keypads can connect directly to an Airbnb listing, with access limited to the reservation period (August Airbnb hosting).

August/Yale connection path
- Open Works With in the August app.
- Select Airbnb, then Connect to Airbnb.
- Enter the Airbnb account information.
- Select the relevant listing.
- Pair only the lock or locks intended for guest access.
- Choose app access or keypad access.
- Run a controlled test of the guest message, code delivery, start time, checkout expiration, and manual override.
The Yale/August support flow says the primary host should pair the Airbnb account; if a co-host performs the pairing, the guest message may not be sent (Yale/August Airbnb FAQ). August’s cited integration is limited to the U.S. and Canada and requires compatible hardware; newer integration use requires iOS or Android (August requirements).
Do not assume the manufacturer’s app creates rental codes automatically. Schlage says the Schlage Home app does not currently auto-generate codes by itself, although pairing a compatible Schlage Encode lock with Airbnb can enable automatic generation (Schlage code-generation guidance).

Airbnb safeguards
- Confirm whether guests use a keypad or must install an app.
- Select only doors guests need when a property has multiple locks.
- Test a reservation’s arrival instructions and checkout revocation before trusting automation.
- Keep a backup check-in method for a dead battery, offline lock, failed synchronization, or guest phone problem.
5. Audit access and offboard users
A multiple-user system is incomplete without lifecycle management. Review credentials monthly and after every guest turnover, staff change, contractor visit, or lease termination.
Review checklist
- List every app user, administrator, PIN, card, fob, home key, fingerprint, and physical key.
- Remove former guests, contractors, employees, tenants, and unnecessary co-hosts.
- Review activity history for unexplained entries where the model supports logs. Schlage advertises history in the Home app for Encode and Encode Plus (Encode; Encode Plus).
- Check battery status, firmware, app updates, network connectivity, and remote control.
- Test the physical key or other emergency entry method.
- Confirm owner recovery details and the emergency contact.
Offboarding sequence
- Disable or delete the app invitation.
- Delete the person’s PINs from every relevant lock.
- Revoke cards, fobs, home keys, fingerprints, and other credentials.
- Rotate any shared emergency or backup code.
- Review recent access history.
- Change the owner or manager password if it may have been shared.
- Record the date and reason for removal, then verify the person no longer appears in the access list.
Prerequisites before adding anyone
- Record the exact model, door type, keypad, hub or bridge, and supported app.
- Confirm the lock fits the existing deadbolt, lever, or mortise and that the door closes without binding.
- Determine whether remote control requires built-in Wi-Fi, a bridge, a hub, or a compatible controller.
- Update firmware and the mobile app.
- Confirm administrators have supported iOS or Android devices.
- Test locking and unlocking locally before relying on remote access.
- Record the physical key, battery type, emergency-power method, reset procedure, and support contact.
- For rentals, verify country, model, keypad, and booking-platform compatibility.
Troubleshoot by symptom

Offline and battery behavior
A Wi-Fi outage may leave local keypad entry working while remote control and schedule changes fail. A cloud dashboard may show a code as created before the lock has synchronized it. Some models provide emergency USB-C power or other contacts; Aqara’s U300, for example, advertises emergency USB-C charging and low-battery alerts, but that feature is not universal (Aqara U300). Test your model’s emergency method before an emergency, and never rely only on remote battery alerts.

August’s cited U.S. page listed $259.99 for an August Wi-Fi Smart Lock, Connect Wi-Fi Bridge, and Keypad bundle; $279.99 for the touch-keypad version; $179.99 for Yale Approach, Connect Wi-Fi, and Keypad; and $239.99 for its touch version. Those were manufacturer-page observations from August 16–18, 2026, not permanent prices. Schlage’s pages listed Encode from $299 MSRP and Encode Plus from $329 MSRP; verify current pricing before purchase.
